You are a well experienced Medical Secretary looking for that ideal secure role working for a specialist surgery practice with a strong focus on patient care and service.

The Practice

Our practice is a specialist plastic surgeon located at Mosman specialising in blepharoplasty (eyelid surgery). The practice consists of our Principal surgeon, Practice Manager and administration staff.

The medical software used is Shexie software.

The Role

No two days are the same, Your role is diverse from co-ordinating clinics, to being involved in administration, liaising extensively with patients, organising detailed procedures and tests.

We want the right person for our team, so we are open to 4 or 5 days per week.  The hours are 8am to 4-4.30pm and salary is negotiable depending upon previous work history, skills and knowledge.

This is a 12-month maternity leave role, however there is a view to permanency for the role.

The duties and responsibilities are:-

  • You are the first point of contact/impression of the business so you will provide an outstanding level of customer service on the telephone and in meeting and greeting customers
  • Efficient management of all patient data, appointments, procedures, clinical files, correspondence and accounts
  • Scheduling and effective management of patient bookings in Shexie software
  • Co-ordinating scans, tests and other medical reports as required during a patient's treatment
  • Editing, formatting and sending out dictated letters (voice recognition)
  • Liaising with other specialists and healthcare professionals
  • Provide information to patients on practice services and fees
  • Management of patient invoicing and receipting of consultations (Medicare, DVA, Workers Compensation) as well as invoicing of surgical procedures
  • Completion of end of day reconciliations (eftpos, credit card and cash)
  • Other admin duties as directed by the Principal

Your Skills & Knowledge

The ideal candidate will have the following attributes:-

  • Previous experience as a Medical Secretary in a specialist environment (surgical experience highly regarded).
  • Previous experience working with Shexie software is advantageous
  • Experience in working in a busy practice environment and able to multi-task answering phones and making patient appointments
  • You are passionate about providing an exceptional level of customer service
  • A high standard of work ethic – self-motivated, pro-active, takes pride in work
  • A brilliant administrator with excellent organisational and time management skills
  • Able to work well independently, but also as part of a team
  • A high level of numeracy skills and attention to detail
  • Enjoy being part of a professional, happy and dynamic team
