Join a passionate and supportive team at Animal Emergency Service (AES), a 24 hour Animal Emergency and Critical Care hospital located in Hawthorn East.

Here you'll be the welcoming face for our clients and their beloved pets during times of critical need. We're seeking a compassionate and detail-oriented Client Care Representative to deliver exceptional service, support our veterinary teams, and ensure a smooth experience for clients and referring vets alike.

About the Role:

As a Client Care Representative, you'll play a vital role in managing front-of-house operations including client communication, administration, scheduling, and patient admissions/discharges. Your empathy, professionalism, and ability to stay calm under pressure will help provide comfort to pet owners and support to the clinical team during emergencies.

Please note this is a permanent part-time role with approximately 28hours per fortnight in an after-hours veterinary hospital.

Key Responsibilities:

  • Deliver exceptional customer service across phone, email, and in-person interactions
  • Coordinate patient admissions and discharges, ensuring accurate records and communication
  • Support invoicing, payments, and general administration
  • Assist with promotional events and client follow-up communication
  • Radiate empathy and care when liaising with clients
  • Participate in team meetings and training initiatives

What We're Looking For:

  • Minimum 2 years' experience in an administrative or client service role
  • Proficiency in Microsoft Office (Word, Excel)
  • High emotional intelligence and resilience in a fast-paced environment
  • Strong communication and organisational skills
  • Availability to work evenings and weekends
  • Animal handling experience is a plus
