THE ROLE
You will be a key member of the Melbourne studio team and the Wardle national support team. This position is responsible for managing and providing reception and administration support to the studio and contributing to the wide-ranging administrative support of the wider practice.
You will be an energetic and motivated professional with experience in reception and administration, ideally within architecture or a similar environment. You will be the curator of our guest experience at the studio and will take great care in connecting with members of the studio team, clients and guests.
Working closely with the Support team and reporting to the Practice Director, your responsibilities will include:
First Introduction
- Make all visitors, clients, consultants and suppliers all welcome
- Field calls to all staff, transfer and communicate messages
- Note and share staff leave status & attendance
Administration
- Coordinate travel and accommodation arrangements
- Manage and reconcile petty cash
- Manage reservations for equipment, rooms and car spaces
- Assist with updating databases including Sharepoint, Deltek & Hubspot
- Assist with research, presentations and general admin
- Liaise and delegate tasks with others including students
- Deliver mail and coordinate outgoing mail, couriers and deliveries
- Assist in coordination of internal and external events
Studio Supplies & Maintenance
- Arrange catering for meetings
- Stocktake and order of stationery, studio equipment and kitchen supplies
- Coordinate building maintenance and trades personnel
- Manage appearance of studio including reception, kitchen and meeting spaces
SKILLS & EXPERIENCE
- Excellent communication skills – verbal and written
- Ability to research, gather, analyse and communicate data and initiate actions
- Well organised, methodical and ability to be flexible and prioritise tasks
- Ability to work as part of a team and independently
- Intermediate-Advanced proficiency in Microsoft Excel, Word
- Proven experience in a similar role
