About the Role:
This role is able to be based in either Ipswich or Spring Hill - If based in Spring Hill, the incumbent of the role must be willing to undertake 2 weeks of training in Spring Hill. Reporting to the Property and Assets Coordinator, the Property and Assets Administrator plays a vital role at DCC Industry Group in ensuring all property and assets are in excellent condition for the clients we care for. Much of this role is processing maintenance requests relating to damages incurred by our clients in a timely manner and submitting claims to Child Safety Departments for reimbursement.
The position requires strong organisational and communication skills, the ability to coordinate multiple priorities, and a proactive approach to problem-solving. This role contributes to the smooth operation of DCC's services and ensures our facilities and resources reflect the organisation's commitment to quality care and community support.
Key responsibilities will include:
- Coordinate property and vehicle maintenance requests, including managing work orders and arranging repairs.
- Source quotes, liaise with suppliers and contractors, and ensure timely completion of maintenance tasks.
- Prepare and submit insurance and damage reimbursement claims through relevant departments.
- Oversee setup of residential programs, including property security, utilities, furnishings, and essential equipment.
- Manage property departures by coordinating removalists, cleaning, key returns, and final inspections.
- Administer vehicle fleet operations, maintaining accurate records within the online fleet portal.
- Liaise with external fleet managers, coordinate signage, and manage fuel cards, e-tags, and vehicle transfers.
- Oversee procurement, setup, and maintenance of laptops, phones, and other office or program equipment.
- Maintain asset registers and ensure proper documentation for all equipment and vehicle movements.
- Conduct regular site visits to assess property and vehicle conditions, ensuring compliance and safety standards.

Qualifications/Requirements:
- 2 years' experience in an administrative role
- Demonstrated interpersonal skills and ability to maintain positive relationships with internal and external stakeholders.
- Experience in managing work orders
- Excellent numeracy, written and verbal communication skills.
- Attention to detail and ability to work with accuracy and confidentiality.
- Basic knowledge of Microsoft suite (Excel, Word).
- Ability to work effectively under limited supervision to manage own time to achieve defined outcomes.
- Working with Children Check (Blue Card) or willing to obtain
- NDIS Worker Screening Check (Yellow Card) or willing to obtain
- Satisfactory LCS outcome or willing to obtain
- Satisfactory National Police Check or willing to obtain
- Valid P2 or Open Driver's licence
- Must be willing to undertake 2 weeks of training in Spring Hill
