About the Role

We have an exceptional opportunity for an experienced Asset Management Information Coordinator to join the team at MTS. Reporting to the Principle Engineering Manager CSW, the role will provide structured project coordination and stakeholder engagement support for the MTS review process, ensuring timely and accurate management of AMI submissions and document reviews.

The role will also facilitate fortnightly project management meetings; track progress using digital tools and ensure compliance with contract requirements through rigorous documentation and follow-up. It serves as a key liaison between MTS SMEs, FIWs, SMA, and contractors, resolving technical review issues and maintaining the integrity of document transmittals.

This is a 3-month fixed term contract opportunity with the possibility of ongoing extensions.

Key responsibilities include:

• Utilise the project document management boards to track the progress of AMI submissions and reviews, updating MTS status as needed.
• Attend and co-facilitate fortnightly MTS project management meetings with FIWs and SMA.
• Document, distribute, and follow up on FIW, SigCon, SMA, and MTS Actions from each project management review meeting.
• Follow up on document reviews that are due or overdue with MTS reviewers.
• Verify FIW and SMA project management updates for accuracy and relevance. Teams/Outlook
• Use the MTS document management system (InEight) to view documents sent in Tx Review Emails, open attachments (documents and DVRs), and confirm compliance with the process.
• Ensure SME reviews are up to date on the current document pending subsequent FIW submissions.
• Determine whether MTS has responded to incoming Tx within the allocated timeframe and follow up with SMES.
• Make sure FIW/SMA respond to MTS comments.

About You

You are an experienced and proactive professional with 3-5 years demonstrated work experience ideally gained in a Rail and/or construction background, with experience in document control activities and document management software coupled with maintenance of document control and records management experience.

With excellent verbal communication skills and excellent time management abilities, you can prioritise tasks to achieve agreed objectives and timeframes and always to a high standard coupled with exceptional stakeholder management skills.
