Personal Assistant to Company Director

We are a thriving business dedicated to providing high-quality within our community. We are seeking a highly organized, proactive, and professional Executive Assistant to support our business director in driving our mission forward.

The Role:

As the Personal Assistant to the Business Owner, you will provide high-level administrative and operational support to ensure the smooth running of the business. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. Approximately 20 hours per week.

Key Responsibilities:

  • Manage the business owner's calendar, including scheduling meetings, appointments, and travel arrangements.

  • Act as the primary point of contact for internal and external stakeholders, including staff, clients, and suppliers.

  • Prepare reports, presentations, and correspondence on behalf of the business owner.

  • Coordinate and support business projects, including regulatory compliance, staff training, and marketing initiatives.

  • Handle confidential information with discretion and professionalism.

  • Assist with financial tasks such as payroll, budgeting, invoicing, and expense tracking.

  • Organize events, meetings, and professional development sessions for the childcare team.

  • Monitor and respond to emails, ensuring timely communication and follow-ups.

  • Support the implementation of business strategies and operational improvements.

  • Perform ad-hoc tasks to support the business owner's day-to-day needs.

What We're Looking For:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role, preferably in a small business or childcare/education sector.

  • Exceptional organizational and time-management skills with a keen eye for detail.

  • Strong communication skills, both written and verbal, with a professional demeanor.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools.

  • Ability to prioritize tasks, work independently, and handle sensitive information with confidentiality.

  • A proactive problem-solver with a positive, can-do attitude.

  • Knowledge of the childcare industry or regulatory requirements is a plus but not essential.
