Job Summary
We are looking for a motivated and detail-oriented Project Officer to support the successful manufacturing delivery of engineering projects. In this role, you will assist with the procurement, receiving, dispatching, and cross-checking of materials and equipment for ongoing projects. You will work closely with suppliers and management to ensure the smooth and timely flow of materials into and out of the manufacturing facility, maintaining quality standards throughout the process.
Key Responsibilities
Project Support:
- Help track project materials and shipments against project timelines and milestones.
- Assist in preparing reports for project managers on the status of material delivery, inventory levels, and dispatches.
Purchasing / Procurement / Receiving / Inspecting / Dispatching:
- Place and track purchase orders for materials, components, and equipment, ensuring accuracy in order details, delivery timelines, and pricing.
- Communicate with suppliers to clarify any issues with quotes, lead times, or product availability.
- Receive and verify incoming materials, equipment, and components from suppliers against purchase orders, shipping documentation, and project specifications to ensure accuracy.
- Inspect items for any damage or defects and report discrepancies.
- Coordinate the timely dispatch of materials, parts, and equipment.
Supplier and Stakeholder Communication:
- Act as a point of contact for suppliers to address shipping issues, delays, or discrepancies in orders.
- Collaborate with the team to resolve any quality or delivery-related issues.
- Assist with expediting urgent material orders or shipments to prevent project delays.
Assist with Quality Control and Compliance:
- Ensure received materials meet quality standards and specifications before they are dispatched to fabrication department.
- Maintain quality control systems to ensure all products meet engineering specifications and quality standards.
Qualifications and Skills
- Strong attention to detail.
- Ability to interpret engineering drawings.
- Excellent communication skills, both written and verbal, for liaising with suppliers and internal teams.
- Understanding of procurement processes.
- Proficiency in Microsoft Office 365 applications, Outlook, Excel, Word, SharePoint.
- Strong organizational and time-management skills, with an ability to handle multiple tasks simultaneously.
- Ability to work effectively in a team environment and collaborate across departments
Desirable
- Engineering or Manufacturing Industry experience preferred.
- Trade qualifications highly regarded.
- Understanding of quality control standards and practices in manufacturing.
- Eagerness to learn industry systems, processes, and best practices.
- Effective communication and collaborative mindset.
Working Conditions
- Primarily office-based with regular interaction with the production areas within the onsite factory.
- Standard working hours with occasional flexibility needed to meet project deadlines or urgent shipping schedules.
