The Role

The Operations Coordinator is a specialised, execution-focused role responsible for driving operational efficiency across our entire order-to-dispatch process. This is a hands on role ensuring there is a seamless flow between our sales Team and Warehouse Team. Organising daily deliveries with internal and external freight partners, providing excellent customer service and assisting with our inventory management processes.

Core Responsibilities

The successful candidate will be cross-trained and held accountable for high-speed execution across three core functions:

1. Execution & Process Optimisation (The Core Focus)

• Order Processing: Collaborate with the team daily to ensure all new orders are verified, paid, and processed within agreed timeframes.
• System Integrity: Ensure all order data is processed accurately and completely in our ERP system (Cin7) before handing off to the Warehouse.
• Error Elimination: Proactively identify and resolve system errors, payment discrepancies, and complex stock issues to eliminate the need for future reactive chasing (firefighting).

2. Dispatching & Logistics Function

• Dispatching: Own the end-to-end execution of all outbound freight, ensuring clear separation of duties at the point of dispatch.
• Freight Management: Accurately book and manifest all external courier jobs and freight movements, and manage internal truck run documentation.
• Paperwork Generation: Batch-print all necessary dispatch documentation (pick slips, manifest documentation, labels) for the Warehouse Team in a timely manner.

3. Inventory & Sales Support

• Inventory Control: Maintain high system integrity by overseeing goods receiving paperwork and performing necessary cycle counts to ensure physical stock aligns with system stock.
• Supporting Sales Team: Act as the dedicated operational touchpoint for the Sales Team, handling low-value inquiries such as basic stock checks, ETAs, and simple quotation support, allowing the Sales Team to focus on revenue generation.
• Final Processing: Ensure final order closures, invoicing, and receipting (especially for customer collections) are processed accurately from the COH.

Skills & Experience

• ERP Proficiency: Proven, demonstrable experience (2+ years) with Enterprise Resource Planning (ERP) or Inventory Management software (Cin7 experience is highly desirable).
• Logistics Background: Strong understanding of high-volume dispatch, freight manifesting, and general logistics principles.
• Process Driven and Detail Oriented: A track record of prioritising process adherence and data accuracy over taking shortcuts.
• Team Player: Proven ability to work collaboratively in a fast-paced environment to meet shared team goals (KPIs).
• Communication: Excellent written and verbal communication skills for liaising with sales, warehouse, and external logistics partners.
