About Us:

We are a global medical device company specializing in high-quality injection needles and cannulas for medical and aesthetic applications. Our Australian subsidiary is in its early growth stage, and we are looking for a hands-on, versatile team member who can handle a mix of office administration, sales administration, customer support, and general support tasks.

Key Responsibilities:

Office Administration

  • Handle general office tasks such as answering calls, managing correspondence, and maintaining office supplies
  • Organize and file documents, both physical and digital
  • Liaise with service providers, suppliers, and couriers

Sales Administration

  • Explain product features and specifications to customers when requested, ensuring accurate and clear communication
  • Process customer orders accurately and promptly and input orders in ERP system
  • Prepare invoices and packing slip, pick and pack products, arrange shipments, and follow up with customers
  • Maintain customer and order records in our system
  • Maintain inventory control, ensuring accurate records of stock levels and order status.
  • Communicate with the contracted forwarder to arrange delivery of inventory
  • Place replenishment orders with our Japan team
  • Report daily and monthly sales figures to the Director
  • Update a global inventory report monthly.

General "All-Rounder" Support

  • Help with marketing activities, events, and exhibitions when required
  • Support any ad-hoc tasks or projects assigned by management

Requirements:
  • 3+ years of experience in sales administration.
  • Proficiency with ERP software (NetSuite, QuickBooks, or similar) and Microsoft Office tools (Excel, Word, etc.).
  • High attention to detail and ability to manage multiple tasks effectively.
  • Strong communication skills (written and verbal) and a professional manner
  • Problem-solving skills and ability to address customer inquiries or issues with a positive and professional approach.
  • Proactive, flexible, and able to work both independently and in a small team.
  • Ability to work collaboratively in a fast-paced environment.
