About the Company

Our client is a distributor of nuts, dried fruits, herbs, and raw ingredients for manufacturers. We're a family-run business in Dandenong with an office, on-site warehouse, plenty of parking, and a short walk from Dandenong Station.

About the Role

In this dynamic and fast-paced role, you'll play a pivotal part in driving our sales, marketing, customer support, and operational success. As the central hub of our day-to-day activities, your work will directly impact client satisfaction, and cross-functional coordination.

Beyond sales and support, you'll collaborate with marketing to help coordinate the execution, and update website content with external providers. Your role is integral in ensuring that messaging aligns across channels and that customer-facing teams are prepared with the right tools and information.

This is a highly collaborative role that touches nearly every aspect of the business from managing inventory and updating internal stakeholders to supporting operational workflows and enhancing customer satisfaction. You'll be the go-to person who connects departments, keeps communication flowing, and ensures everything runs on time and to standard.

Key Responsibilities

  • Maintain and update website content with external providers, manage the online ordering portal, and support marketing material creation.
  • Support the processing and management of client sales orders, ensuring accuracy and timely communication across teams.
  • Coordinate the full order lifecycle, from processing to dispatch, while troubleshooting logistics or delivery issues.
  • Schedule and liaise with couriers and 3PL transport providers, balancing cost and service requirements.
  • Lead and support key operational projects, such as CRM upgrades and food safety certifications.
  • Monitor and manage inventory levels, placing orders and conducting regular audits.
  • Act as the first point of contact for incoming customer calls and client inquiries.
  • Plan and coordinate fortnightly product packing days, sourcing required materials.
  • Support various ad hoc and cross-functional tasks to assist business goals.

What We're Looking For

  • 4-6 years of experience in a multi-disciplinary administrative, operational or commercial role
  • Bachelor's degree in Business Administration, Operations, Marketing, or a related field
  • Strong communication, organisation, and problem-solving skills
  • Awareness of using AI tools
  • Confident with Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and CRM systems
  • Proactive, adaptable, and a genuine team player
  • Experience in marketing is a plus
