Are you a highly organised and proactive professional with a passion for supporting senior leaders in a dynamic environment? We're seeking a highly experienced Executive Assistant, looking to take the next step in their career, to provide high-level support to our Vice President and Chief Operating Officer (VP&COO) at RMIT University.
About the Role
You will play a key role in ensuring the smooth operation of the executive office. You'll manage complex schedules, coordinate communications, and act as a trusted point of contact for internal and external stakeholders. With a strong focus on professionalism and discretion, you'll support the VP&COO in delivering strategic priorities across the organisation.
Key responsibilities include drafting communications, coordinating meetings and events, maintaining documentation systems, and supporting the P&COO's leadership of the Operations Portfolio. Acting as a key liaison, you will also support team engagement, track deadlines, and represent the VP&COO on delegated administrative tasks. This position requires excellent organisational skills, sound judgement, and the ability to manage sensitive matters in a dynamic and fast-paced environment.
About You
Proven experience supporting senior executives in large, complex organisations.
Exceptional judgement, with the ability to act with diplomacy, patience, discretion, and tact.
Excellent customer service and interpersonal skills, with the ability to build strong relationships across all levels.
Highly developed written and verbal communication skills, with strong attention to detail.
The ability to work flexibly, efficiently, and collaboratively in a fast-paced, service-focused environment.
A proactive mindset, with strong problem-solving and critical thinking abilities.
Outstanding organisational skills and the ability to manage competing priorities with ease.
Proficiency in Microsoft Office 365 and experience with document management systems.
Knowledge of financial processes and/or experience in the tertiary education sector (highly desirable).
