The Role
The Executive Assistant is responsible for all Board secretarial responsibilities, corporate governance and ensuring best practice in a highly regulated environment. The role will be based at our Caboolture Campus with regular travel across Campuses.
This is a busy, diverse, and sometimes demanding position where you will be comfortable working in a changing environment juggling competing priorities. It requires the person to be able to think on their feet and be flexible due to the nature of the school environment. It requires the person to be able to communicate clearly and effectively with other staff members.
The Executive Assistant reports directly to the Chief Executive Officer and Manager of the Office of the CEO.
- This role provides high level administrative support to the Chief Executive Office, Manager of the Office of the CEO and Board of Directors.
- Preparing briefing materials for the induction of new Board Members.
- Report preparation, minute taking, agenda preparation and meeting support. Some afterhours required (attendance at Board and Committee meetings offsite).
- Managing Board of Director SharePoint site.
- Entering invoices for payment and reconciling credit cards.
- Managing registers, performing data entry, and compiling documents.
- Safeguard the official documents, including the constitutions and key policies.
- Responding to Subpoenas and other agencies requests for information.
- Regular catering (staff birthdays, meetings, and events, buying gifts, ordering flowers, making coffee etc.).
- Conference and event support.
- Booking accommodation, travel, and venues.
- Relevant experience as an Executive Assistant or in an executive level support role is essential.
- Advanced Microsoft Office skills.
- TASS experience but not essential.
- Ability to identify and mitigate risks associated with governance.
- Strong problem-solving skills with a proven ability to improve processes and practices.
- Exceptional interpersonal and communication skills.
- Ability to manage complex administration processes.
- High level of attention to detail.
- Ability to work independently and collaboratively within a team.

The successful application will have:
- Qualification in Business Administration or equivalent.
- A current Working with Children Check (Paid Blue Card) or be willing to obtain one prior to commencing.
- Open Drivers Licence.
