Role Purpose
As Office Manager, you will play a critical role in ensuring the smooth operations of SUBCO. Your role will encompass office management and administrative support, in addition to organising all SUBCO events, not only for our Brisbane office, but also our Melbourne and London offices. This role requires excellent communication and multitasking skills, strong attention to detail, and the ability to work collaboratively across departments to ensure the smooth and efficient functioning of the workplace.
This role is typically office-based, with occasional travel required for event coordination or office-related duties at other sites.
Role Responsibilities
Office Management
Oversee the smooth day-to-day operations of the office, ensuring a clean, safe, and productive working environment for all staff.
Serve as the primary point of contact for building management, service providers, and office vendors (e.g. cleaners, IT support, office supplies).
Monitor and manage office inventory, ordering supplies as needed.
Serve as the point person for all visitors to SUBCO HQ .
Maintain office policies and procedures, and suggest improvements where appropriate.
Source, vet, and manage external contractors and service providers (e.g., electricians, cleaners, repair technicians, IT support), ensuring all work is completed to a high standard and in accordance with safety and compliance regulations.
Develop and maintain a building maintenance schedule and ensure regular inspections, servicing, and safety checks are performed.
Oversee the office's physical assets, including office furniture, fixtures, equipment, and facilities supplies; manage repairs, replacements, and upgrades as needed.
Maintain accurate records of service agreements, maintenance logs, building access cards, keys, and office security protocols.
Monitor office-related expenses, process invoices, and work within approved budgets for facilities and maintenance.
Liaise with Executives and team members on all interstate and international travel
Event Planning
Plan, coordinate, and execute internal and external events including staff meetings, team-building activities, client events, and company celebrations.
Manage event logistics such as venue selection, catering, transportation, accommodations, guest lists, invitations, and event setup/pack-down.
Develop and manage event budgets, ensuring cost-effectiveness while maintaining quality.
Work with internal stakeholders to align event goals with company objectives and brand standards.
