Research Administration Officer

- Salary: $99,161 to $109,457 (HEW Level 6), plus 17% employer's superannuation contribution and annual leave loading.
- Full time, fixed term appointment until March2027.
- Based at Wallumattagal Campus, Macquarie University, North Ryde
The Role
This role provides operational advice and support to the Principal Investigator and the research team, to support the research activity and requirements for the work area (non-clinical trials). This includes coordinating and drafting ethics submissions, supporting grant applications and submissions, coordination of outreach events, onboarding new staff and preparing compliance reporting and storing data that is collected from research projects for further analysis.
Some of your main key responsibilities:
Manages the general day to day administration activities for the research team (non-clinical trials) and provides operational support for the efficient running of the clinic area via managing supplies (including linen, clinical and non-clinical consumables, equipment and stationery) and via logging maintenance requests.
Manages group phone, email, calendar and SharePoint sites, as well as coordinates team meetings (booking, preparation of agendas, minute taking) and supports the implementation of projects and actions arising from those meetings.
Coordinates and provides advice to the Principal Investigator and research team to support ethics submissions and reporting, including supporting the PI with development of essential research documents, including protocols and PICFs in line with The National Statement on Ethical Conduct in Human Research.
Provides support to the Principal Investigator with funding applications and existing research projects via; notification of intent submission, navigating funding body application platforms, monitoring project milestones and updating public research profile via the Research Management System (Pure).
Coordinates and implements outreach activities and events including sourcing of venues, management of registrations, budget control /reconciliation, maintenance of appropriate records and files for each event. Develops marketing collateral to promote research events and initiatives.
Liaises with Macquarie Medical School Administration team to facilitate casual, visiting and honorary appointments as required in accordance with applicable policies, procedures and systems.
Represents the Principal Investigator and work area in strategic meetings with relevant stakeholders
Provides financial, purchasing, procurement, expense reconciliation and travel administrative services and support to staff as required, as well as preparing financial reporting
Gathers, and reviews data and information to prepare reports or recommendations to meet internal and external requirements and inform decision making.
About You
You are highly organised and proactive, you take initiative in managing day-to-day administrative and operational matters, following through to resolution. You have a proven ability to work effectively both independently and within a team, with excellent interpersonal, verbal, and written communication skills. You are confident in building and managing relationships with a wide range of stakeholders.
Your experience extends to developing and supporting research projects, including familiarity with research protocols, experimental design, ethics submissions, and grant applications. You also bring strong numeracy skills, with a track record of managing budgets, reconciling income and expenditure, and overseeing invoice payments and purchases.

Strong problem-solving skills with the ability to prioritise tasks effectively, especially during busy periods.
Experience supporting research projects, including protocols, ethics, and grants, as well as good numeracy skills for budget tracking, reconciliation, and financial processes.
Understanding of WHS and safe laboratory practices relevant to the work environment
