Veterinary Practice Manager – Client Services

MASH is seeking a passionate and motivated Practice Manager to lead our Client Services team and work with our clinical teams to provide exceptional service to both pet owners and our referring vets. This is a full time, on-site role.
Melbourne Animal Specialist Hospital (MASH) is a leading independent Vet Hospital located in Ringwood, providing specialist services in Small Animal Surgery, Diagnostic Imaging, Anaesthesia and 24/7 Emergency and Critical Care.

Responsibilities:
- Lead the front-of-house team to deliver a professional, efficient and compassionate service.
- Line manager for all front-of-house and administrative staff.
- Develop new protocols/systems and improve existing protocols to ensure optimal front-of-house service.
- Recruitment, rostering, training and support of all front-of-house staff.
- Coordinate communication between pet owners, referring veterinarians, and MASH clinical team members.
- Manage incoming and outgoing correspondence/emails.
- Manage financial systems including insurance claims, third party payment options, basic bookkeeping/financial reconciliation, etc.
- General administrative tasks such as filing, data entry, and inventory management.
- Contribution to hospital strategic and marketing policy.
Requirements:
- Formal management qualification desirable but not essential.
- Previous leadership/experience, preferably in a veterinary or medical setting.
- Excellent customer service skills with a warm and compassionate demeanour.
- Proficiency in IT - familiarity with EzyVet practice management software is an advantage, but not essential.
- Previous experience with basic bookkeeping and financial reconciliation
- Strong organisational skills and attention to detail whilst maintaining high levels of efficiency.
- Ability to remain calm and professional in high-pressure situations.
- A genuine passion for animals and their well-being.
