Are you a driven all-rounder with experience in bookkeeping and office management? We are looking for a proactive and detail-oriented professional to join a legal practice as a Part-Time Practice Manager. This is an exciting opportunity to take charge of day-to-day operations while enjoying the flexibility of working 4 days per week, 4 hours per day.
About the Role:
As the Practice Manager, you will be at the heart of the firms operations, ensuring the smooth running of the legal practice. From bookkeeping and financial reporting to HR administration and office management, this role offers variety and responsibility. You'll have full administrative authority and decision-making power to make a real impact on the success of the firm.
Key Responsibilities:
- Manage end-to-end bookkeeping, including accounts payable/receivable, bank reconciliations, payroll for internal consultants, credit card transactions, and debtor management using Xero & LEAP software.
- Prepare monthly financial reports, assist with budgeting, and manage cash flow effectively.
- Oversee daily operations of the legal practice and ensure general office upkeep.
- Liaise with external accountants and handle vendor/tender contracts.
- Ensure compliance by managing professional insurances, renewals, subscriptions, and memberships.
- Handle HR administration tasks such as onboarding new employees and tracking leave.
- Build and maintain strong relationships with team members, clients, service providers, and suppliers.
- Implement and improve administrative systems and processes to enhance efficiency.
- Coordinate office functions/events and ensure smooth operations (supplies, IT coordination, maintenance).
- Act as the first point of contact for purchases, negotiating pricing for services like IT support, building maintenance, furniture/equipment repairs, cleaning services, couriers, etc.
Skills & Experience:
- Proven experience as a Practice Manager, Bookkeeper, or in a similar all-rounder role within a legal or professional services environment.
- Proficiency in legal practice management and accounting software (e.g., LEAP and Xero).
- Strong understanding of legal compliance requirements.
- Exceptional organisational skills with high attention to detail and accuracy.
- Excellent communication skills with the ability to build effective relationships with stakeholders at all levels.
- A proactive mindset with strong problem-solving abilities and time management skills.
