Position Overview

We are seeking a motivated and customer-focused Customer Service Representative to join our Service Department. This role requires someone with a strong background in customer service and excellent communication skills to ensure a seamless and professional experience for our customers.

As the first point of contact for customers, you will be responsible for managing service bookings, maintaining clear communication between the customer and workshop, and supporting the Service Department to deliver outstanding service. You will play an integral role in building and maintaining strong customer relationships, ensuring customer satisfaction, and contributing to the ongoing success of our business.

Key Responsibilities

Customer Relations

  • Act as the first point of contact for customers both in person and over the phone.
  • Provide a high level of customer service, ensuring all inquiries are handled promptly and professionally.
  • Communicate clearly with customers regarding their service needs, job status updates, and any additional work required.
  • Build and maintain strong relationships with both new and existing customers.
  • Handle customer concerns and complaints with prompt, solution-based outcomes.

Operational Support

  • Schedule and coordinate service bookings to ensure an efficient and effective workflow within the workshop.
  • Liaise with the Workshop Supervisor and technicians to ensure accurate job progress updates are communicated to customers.
  • Maintain accurate customer records and service documentation in the dealership's management system.
  • Support the Service Manager with administrative tasks, reporting, and general office duties as required.

Sales & Promotion

  • Identify and promote additional products and services that may benefit the customer, maximizing sales opportunities.
  • Assist in achieving department KPIs by contributing to service upsell and customer retention targets.

Compliance & Safety

  • Ensure compliance with dealership processes, policies, and procedures.
  • Adhere to occupational health and safety (OHS) standards at all times.
Qualifications & Experience

Experience

  • Previous experience in a customer service role, preferably within the truck, automotive, or heavy vehicle industry.
  • Experience in a dealership or service environment is highly regarded.

Skills

  • Strong interpersonal communication and negotiation skills.
  • Excellent organizational and time management abilities.
  • A customer-focused mindset with a proactive approach to problem-solving.
  • Competence in using computer systems, including CRM and service scheduling tools.
  • Ability to work as part of a team and build strong relationships with colleagues and customers.
