ABOUT THE JOB

We are seeking an enthusiastic and organised
Conference & Events Planning Executive
to join our dynamic team.

Reporting to the Conference & Events Planning Manager, this role is responsible for the end-to-end planning and coordination of conferences and events across all Melbourne Park venues. You will work closely with clients, internal teams, and external partners to deliver seamless, memorable events that exceed expectations and meet financial targets.

As a key member of the Conference & Events team, you will ensure every detail is meticulously managed - from sales handover to event day - driving operational excellence and exceptional customer experiences.

KEY RESPONSIBILITIES

  • Plan and execute conferences and events across the precinct from initial handover to post-event review.
  • Manage the end-to-end event planning process, ensuring accuracy in data input, financial management, and communication across stakeholders.
  • Work closely with clients to understand their needs, upsell services, and deliver tailored solutions that exceed expectations.
  • Collaborate with internal teams and partners to ensure seamless event delivery.
  • Champion Melbourne Park's brand values and behaviours in all interactions, representing Melbourne Park professionally at meetings and industry events.
  • Manage all financial and administrative elements of event planning, including invoicing, payment tracking, and system data entry using Ungerboeck (USI).
  • Support the continuous improvement of event processes and contribute ideas to enhance client satisfaction and business growth.

ABOUT YOU

You are a detail-oriented event professional with a passion for delivering exceptional client experiences. You thrive in a fast-paced environment, are skilled at managing multiple priorities, and love bringing events to life through strong stakeholder relationships and flawless planning.

You have

  • Proven experience in event planning or operations within a large conference or events venue.
  • Excellent organisational, communication, and time management skills.
  • Strong relationship management and negotiation skills, with the ability to influence and engage diverse stakeholders.
  • A solid understanding of customer needs and the ability to tailor solutions to achieve outstanding outcomes.
  • Experience using event management software, ideally Ungerboeck (USI/EBMS).
  • A positive, proactive attitude and a drive for results and continuous improvement.
  • The ability to collaborate effectively across multiple departments and deliver under pressure.

Desirable

  • Tertiary qualification in Event Management, Business, or a related field.
  • 5+ years' experience in the events industry.
  • Experience working with external catering partners and event operations teams.
