Reporting to the Director of Finance, this position provides high-level administrative support to members of the Executive Leadership Team.

You'll also play a key role in supporting a range of committees and working groups, ensuring smooth operations, strong governance, and clear communication across teams.

Key responsibilities include:

  • Providing executive-level support including diary management, travel coordination, meeting preparation, and correspondence.
  • Preparing and formatting reports, papers, and proposals for Board and committee meetings.
  • Coordinating and minuting committee meetings, tracking actions, and ensuring follow-up.
  • Supporting the Finance and Translation teams with project and event coordination.
  • Assisting with ad hoc administrative and governance tasks as required.

About You:

You're an experienced Executive Assistant who is highly organised, detail-oriented, and thrives on managing multiple priorities. You'll be confident working with senior stakeholders, enjoy supporting meaningful work, and take pride in delivering excellence.

You will bring:

  • 5+ years' experience providing high-level support to senior executives, ideally within a complex or research-based environment.
  • Strong written and verbal communication skills, with the ability to liaise confidently across all levels of the organisation.
  • Experience supporting governance committees, including agenda preparation, minute taking, and action management.
  • Advanced Microsoft Office skills and strong attention to detail.
  • A collaborative mindset, initiative, and the ability to work autonomously.
