About the Role
Leading shopfitting and commercial refurbishment business, delivering high-quality fit-out projects across retail, hospitality, and commercial spaces. We're seeking an experienced Project Coordinator to support our growing pipeline of projects.
This role is pivotal in keeping projects running seamlessly from tender through to handover. You'll work closely with Project Managers, site supervisors, subcontractors, and clients, ensuring all project requirements are met on time, on budget, and to the highest standard. From coordinating trades and suppliers, to preparing shopping centre documentation and managing client onboarding, this is a fast-paced, hands-on role that requires initiative, precision, and strong communication skills.
Key Responsibilities
- Coordinate project-related travel, site requirements, and expenses in line with budgets
- Record, track, and report on monthly project revenue
- Schedule and prepare weekly project meetings, agendas, and progress documentation
- Manage client invoicing, progress claims, and variations in line with contract terms
- Process purchase orders, PowerPass receipts, and credit card transactions for accurate cost tracking
- Organise delivery of equipment, joinery, and hire gear to site
- Prepare and submit required Shopping Centre documentation and permits
- Arrange site inductions, subcontractor onboarding, and compliance checks
- Prepare and maintain site safety documentation, SWMS, and safety folders
- Manage the full project lifecycle (tender, award, execution, close-out) within internal systems
- Monitor subcontractor licences, insurances, and compliance records
- Proofread and format client quotes, tenders, and submission packages
- Draft and issue Minor Works & Commercial Works Contracts
- Assist Project Managers with handovers and ensure smooth transition between teams
- Provide general project administration and site support to ensure successful project outcomes
- Represent the company professionally, building strong client and subcontractor relationships
About You
Previous experience in Project Coordination, Project Administration, or similar role within shopfitting, construction, or fit-out projects
Highly organised with excellent attention to detail
Strong written and verbal communication skills - comfortable liaising with clients, site teams, and centre management
Proficient in Microsoft Office; exposure to project management or job costing systems preferred
Ability to manage competing priorities and adapt quickly in a fast-paced environment
Knowledge of construction/site compliance documentation (permits, SWMS, inductions, safety folders) is advantageous
Team player with a proactive, problem-solving approach
