Australian Energy Producers (AEP) is the peak body of the explorers, developers, and producers of essential energy — oil, gas, and lower-emission fuels.
Australian Energy Producers has proudly advocated for the oil and gas industry since 1959, highlighting the immense contribution of the sector to Australia's economic and energy security. The oil and gas industry supports more than 215,000 Australian jobs and contributes more than $100 billion a year to the Australian economy. Natural gas meets more than a quarter of Australia's energy needs and is our third largest export.
The oil and gas industry is enabling the transformation of energy systems in Australia and the region, delivering reliable natural gas supply for power generation, manufacturing and homes, while leading the development of net-zero technologies and fuels including carbon capture, utilisation and storage (CCUS) and low carbon hydrogen.
Representing more than 95 per cent of oil and gas production in Australia, Australian Energy Producers works collaboratively with Australian governments, industry and other stakeholders to secure the industry's long-term contribution to Australia's economy, energy security and emissions reductions.
About The Role
As the Events & Member Relations Coordinator, you will report to the General Manager of Member Relations & Events and work closely with the Events team. Your role includes providing advanced administrative and coordination support to ensure major events are successfully delivered, as well as assisting with all areas of event planning, execution, and member engagement. AEP organizes around 50 events annually—such as boardroom lunches, panel seminars, and a national conference with more than 130 speakers, 150 exhibitors, and over 2,500 delegates. Additionally, you will contribute to two international conferences: GHGT18 in 2026 and LNG2029.
Key responsibilities include:
- Coordinate logistics for events, including venue inspections and meetings
- Provide comprehensive administrative support to the General Manager and team, including scheduling, documentation, reports, and minute-taking
- Support data entry and record management in the CRM system (HubSpot)
- Assist with event materials, proposals, reports, and correspondence
- Liaise with suppliers, venues, and contractors to ensure value for money and service delivery
- Support on-site logistics and activities for events, including setup, registration, and attendee management
- Assist with online event delivery and registration management using EventsAir
- Prepare clear, concise, and professional correspondence, reports, and event documentation
- Uphold Australian Energy Producers' values and behaviours every day
About You
To succeed in this role, you will have:
- Demonstrated experience as a highly competent and organised administration professional
- Exceptional attention to detail and accuracy
- Strong organisational and prioritisation skills
- Flexible, proactive, and able to pivot quickly to complete priority tasks
- Ability to work autonomously and as part of a team
- Excellent written and verbal communication skills
- Proven ability to develop highly effective and professional working relationships across all levels of internal and external stakeholders
- Certificate III in Events, Business Administration, or relevant event industry experience (desirable)
- Advanced Microsoft Office skills and familiarity with CRM systems, ideally HubSpot
- Knowledge and understanding of EventsAir (desirable)
