About UsSpringfield House is a boutique Weddings and Special Events Centre located just 35 minutes from Sydney CBD. Known for its elegant Manor, Pavilion Marquee, and beautifully landscaped gardens, we create unforgettable celebrations for weddings, corporate events, and social functions. We pride ourselves on delivering excellence, attention to detail, and service that exceeds expectations.
Position: Sales & Event Coordinator
Job Type: Part-time (20 hours per week)
Location: In person, Springfield House
Salary: $30 – $35 per hour (dependent on experience), plus superannuation
Sales & Client Management:
- Manage all client inquiries, bookings, and availability tracking through our CRM (Pipedrive).
- Conduct venue tours and consultations to understand clients' visions and event requirements.
- Create tailored event proposals, quotations, and booking agreements.
- Follow up with clients professionally and promptly via phone and email.
- Prepare and maintain weekly and monthly sales reports and manage payments.
- Contribute to achieving annual sales targets and maximise revenue through up-selling and relationship management.
- Assist in marketing initiatives, social media updates, and promotional activities.
- Represent Springfield House at exhibitions, workshops, and industry events.
Event Coordination:
- Plan, coordinate, and execute weddings and events in collaboration with the Events Manager and clients.
- Manage logistics, timelines, menus, floor plans, and event orders.
- Liaise with vendors, suppliers, and internal departments to ensure seamless execution.
- Conduct client meetings and pre-event briefings.
- Oversee event setup, service flow, and guest experience on event days.
- Handle on-the-day coordination, troubleshooting, and client support.
- Update CRM records and ensure all details are communicated accurately to relevant teams.
Qualifications and Requirements:
- Minimum 2 years' experience in sales, event planning, or coordination (preferably within weddings or hospitality).
- Strong communication and customer service skills with a professional, friendly approach.
- Exceptional organisation and time management skills with keen attention to detail.
- Ability to multitask and work calmly under pressure.
- Proficient in Microsoft Office, PipeDrive or similar CRM systems, and social media platforms.
- Hands-on approach with a willingness to assist across departments.
- Knowledge of wedding trends, etiquette, and event operations.
- Availability to work weekends and occasional evenings as required.
- Current RSA and First Aid certification preferred.
