Purpose of the role

ELTHAM College invests in strategic marketing and engagement activities that align with our purpose of growing hearts and

minds and helping our community prosper.

This role is integral to the delivery of the College's marketing and customer experience objectives, with stakeholder and

community engagement important key streams of work.

The Community Engagement Coordinator role manages, grows and supports key stakeholder and volunteer groups, including

families, alumni, students, and other friends of the College, as well as coordinating engagement initiatives.

This role will coordinate the Community Engagement Plan in line with key College strategic objectives.

Main Duties/Responsibilities

Stakeholder Engagement and Growth

  • In collaboration with the Head of Community Engagement and Experience, develop initiatives to improve stakeholder

experience, streamline management and governance, and grow meaningful engagement.

  • Develop relationships and understanding of key individual stakeholders and stakeholder groups to inform decision

making, College marketing and risk management.

  • Oversee the College Volunteer Framework and identify opportunities for volunteers to support College initiatives.


• Coordinate key volunteer and community groups for the College including, but not limited to:

o ELTHAM College Community Association (ECCA)

o Family Engagement Ambassadors (FEA's)

o Alumni Committee; and associated sporting and community clubs, and groups.

  • Provide expert guidance on the management and structure of other associated groups to the College such as Friends

of Music and Performing Arts (FoMPA), which are overseen by other areas of the College.

  • Analyse, evaluate and report on stakeholder engagement activity and outcomes.
  • Some stakeholder meetings and activities are held out of regular hours (evenings and weekends), which may attract

overtime or time in lieu.

Governance

  • As required and in collaboration with the Head of Community Engagement and Experience, update Terms of

Reference (ToR) and constitutional documents for key stakeholders and committee groups.

  • Contribute to governance structures reflect the College strategic plan, legal risk and compliance obligations and

operational needs.

  • Ensure accurate records of volunteer compliance documentation (Working with Children Checks, 100 points of

identification, and signed Codes of Conduct) are maintained.

  • Facilitate induction processes for new committee members, providing orientation on roles, responsibilities,

governance, and process and protocols.

  • Ensure committee meetings are scheduled, structured, and conducted according to governance, including

preparation and distribution of agendas, and documentation of meeting minutes or notes and actions.

Partnerships and Sponsorships

  • Work closely with internal teams (e.g. College faculties, Finance, Marketing & Engagement) to maximise the impact

and visibility of partnerships across College programs, events, and campaigns.

Communications

  • Write, edit and publish content in support of the College Community Engagement Plan.
  • Utilise communication channels to facilitate engagement and stakeholder growth (i.e. alumni on Linkedin).
  • Create content in collaboration with colleagues in the broader marketing team.
  • Provide communications planning in support of College community events.
  • Project manage production of the annual alumni magazine, Connections.
  • Manage alumni-related College social media.
  • Manage other alumni communications as required.

Events

  • In collaboration with the Events and Functions Coordinator, provide support for the delivery of marketing and

engagement events for the College.

  • Provide support for the delivery of events in a range of formats, as well as event design, planning and execution.
  • Develop relationships with stakeholders, staff and suppliers as required to assist with event delivery and meeting

event objectives.

Selection Criteria

Experience

  • Demonstrated experience:

o positively and productively engaging key communities and volunteer groups in support of organisation

objectives.

o managing committees.

o producing communications.

o providing support for delivery of events.

o working in and as part of a marketing and/or community engagement team.

o working with databases and other systems and tools related to planning, communications, management,

marketing, and/or project management.

o managing relationships with external contractors and suppliers.

Skills and Attributes

  • Strong written and oral communication skills with an ability to produce clear and useful communications,

presentations, reports and documentation.

  • Highly developed skills in the use of the Microsoft suite of programs and knowledge of project management tools

such as

  • Strong ability to demonstrate growth in and management of community relationships.
  • Demonstrated ability to take ownership, manage plans, and prioritise competing demands to ensure deliverables are

met.

  • Strong ability to collaborate and build effective and positive relationships at all levels.
  • Ability to demonstrate supreme attention to detail and deliver on several tasks at once.
  • Ability to initiate and implement efficiencies in processes, constantly striving for continuous improvement.
  • Demonstrated ability to achieve strategic and commercial outcomes.
  • Demonstrated knowledge of child safe practices including reporting requirements

Qualifications and Employer Requirements

  • Appropriate qualifications for the role
  • Appropriate qualifications for the role (i.e. project management, community engagement, marketing, bachelor's

degree or higher)

  • Clearance to work with children - Current Working with Children's Check (WWCC)
  • Completion of Protecting Children – Mandatory Reporting and Other obligations (training provided by DoE Victoria)

as required – accessed via ELTHAM College

  • National Police Check (within the last 6 months)
