The opportunity

Intravision is currently seeking to recruit a hands-on Finance Officer to join our Sydney team to keep our numbers tight, our projects flowing and our office humming. You will be working the accounts in Xero, operational administration in SimPRO, and the coordination that keeps technicians and project managers in sync.

We actively use SimPRO for quoting, job workflows and scheduling, and Xero for finance so you will be stepping into an environment where both platforms are core to how we operate.

What you'll do (day to day impact)

1) Xero — Finance Operations

  • Own AP/AR: process supplier invoices, employee expenses and credit cards; raise and send customer invoices; manage statements and follow ups.
  • Bank reconciliations, journals, accruals and prepayments; support monthly close and balance sheet reconciliations.

2) SimPRO — Operational Administration

  • Set up jobs and cost centres correctly, maintain item and customer records, and help PMs with progress claims and variations.
  • Generate purchase orders and work orders; coordinate approvals; ensure documents are captured against jobs.
  • Maintain and improve forms/templates; support online quote acceptance workflows.

3) Job Cost Allocation — Project Finance

  • Allocate labour, materials, subcontractor and overhead costs accurately to cost centres.

4) Scheduling — Keeping the field moving

  • Manage and adjust the SimPRO scheduling board; book technicians, rooms, vehicles and travel as needed.
  • Coordinate with PMs on dependencies and access; communicate changes promptly to stakeholders.

5) Office Management — The heartbeat of the office

  • Front of house support: phones, visitors, mail, couriers and supplier coordination.
  • Order office and site supplies; maintain asset registers; support WHS/induction admin and facilities upkeep.
  • Assist with events, documentation and general admin that keeps the team productive.

What you'll bring

  • Experience with Xero in a multi project or contracting/trades environment (construction, AV, cabling, electrical or similar).
  • Hands on SimPRO experience (or similar job management software) across jobs, quotes, POs/WOs, scheduling and progress claims.
  • Solid grasp of job costing; comfortable reconciling to source documents.
  • Strong organiser who thrives on scheduling and can juggle priorities.
  • Proactive communicator, detail driven and comfortable supporting a busy field/project team.
  • Working rights in Australia; ability to handle sensitive commercial and government client information professionally.
