The Firm
We're a boutique Chartered Accountants firm based in North Sydney and we are looking for a reliable and friendly Reception/Admin Assistant to manage the office and provide basic admin support. We pride ourselves on delivering exceptional service to our clients and fostering a collaborative and inclusive workplace culture. This role is ideal for someone who enjoys routine tasks, working in a low-stress environment, and providing excellent service to clients and team members. In this full-time role, you will provide critical administrative support to our busy office, ensuring smooth day-to-day operations and contributing to the overall success of the business.
The Role
You will be providing a wide range of administrative support, including:
- Welcoming clients and answering incoming calls
- Organising meeting rooms and incoming & outgoing mail
- Admin tasks such as invoicing, receivable, scanning, printing, and document handling
- Supporting our internal team with simple coordination and client follow-ups
- Maintaining and organising filing systems, both physical and electronic
- Supporting team members with ad-hoc tasks and projects as required
- Ensuring the office environment is well-organised and maintained
- Providing suggestions for improvements and automations, actioning or creating these where appropriate
The Candidate
The candidate must have:
- A warm and professional phone manner
- At least 2 years of experience in an accounting receptionist or similar role
- Strong proficiency in computer literacy (email, calendar, PDF files, etc)
- Proficiency with accounting software (e.g., Xero, MYOB, AE Tax)
- Confident and comfortable with technology. We use computer and cloud-based platforms for everything we do, and being comfortable on these systems is essential.
- Friendly attitude, excellent communication and good interpersonal skills, with the ability to interact effectively with team members and clients
- Strong organisational and time management skills with the ability to prioritize tasks and manage multiple tasks
- Capable handling situations as they occur and comfortable working without supervision
- A keen eye for detail and a proactive, problem-solving approach
