JOB SUMMARY:
In this dynamic, fast-paced environment, the Sales and Warehouse Coordinator will play a key dual role in supporting our sales team and managing day-to-day warehouse operations.
DUTIES & RESPONSIBILITIES:
Maintain professionalism and act in a manner consistent with FPI mission and guiding principles
Follow all organizational Health & Safety programs; actively participate in Health & Safety training with the purpose of gaining knowledge and understanding
- Contribute to a positive work environment focusing on Lean and continuous improvement initiatives
Sales Support:
- Provide administrative support to the Sales and Dealer network
- Process customer orders, returns, and invoices using ERP systems (e.g. Epicor, SAP)
- Support account managers with quotations, pricing, and stock availability queries
- Coordinate promotional materials, product literature, and dealer support resources
- Assist in planning and executing sales promotions or dealer training events
- Assist with overflow incoming phone calls and distributes messages accordingly
- Assist with banking and posting of cheques where required for Branch Administrator
- Order prioritization - Review orders for inventory availability and contact customers to assigned order to warehouse personnel for shipping accordingly
- Distribute price lists, order forms, new product data to Account Executives and Dealers accordingly
- Advise inventory levels and highlight issues to Branch Operations and Accounts Executives
- Run monthly sales report for each Account Executive
- Sales order entry and order allocation
- Reply to all sales enquiries for the AU Sales inbox
Warehouse & Logistics:
- Receive, inspect, and record incoming stock
- Pick, pack, and dispatch orders in a timely and accurate manner
- Maintain warehouse organisation, safety, and cleanliness
- Coordinate with freight and courier providers for timely deliveries and collections
- Perform regular stocktakes and report discrepancies
- Operate forklifts and lifting equipment safely (current forklift licence preferred)
- Processing of Burn Models, Co-Op Claims and Discretionary Claims
- Check stock, track orders and price enquiries for all Dealers
- Support Technical Department with warranty claims, including the return of stock and processing RMA credits
- Follow up with dealers on order status as required
- Liaise with Canada to keep Fireplace Design Centre up to date
- Booking of FedEx shipments
- Occasional support at trade shows and exhibitions on weekends
- Other related duties as required
QUALIFICATIONS & SPECIFICATIONS:
Abilities/Skills/Knowledge
- Understanding of freight dispatch processes and safety standards
- Basic technical product knowledge or ability to learn
- Proficient in Microsoft Office Suite (especially Outlook, Excel, Word)
- Strong organizational skills with the ability to multi-task and prioritize
- Excellent communication and interpersonal skills
- Ability to lift, carry and move stock as needed
Education/Training
- High School Certificate (Year 12) or equivalent
- Post-secondary education/coursework in a relevant area is an asset
- Valid Forklift Licence (or willingness and ability to obtain upon hire)
Experience
- Minimum 1-3 years of experience in a sales support, customer service, or warehouse/logistics coordination role
- Experience with bar coding & UPC coding systems and RF scanning equipment an asset
- Experience operating forklift trucks in a careful and cautious manner
- Experience with inventory management systems (ERP/CRM)
- Experience using ERP or inventory/order management systems (e.g., SAP, NetSuite, Pronto, or similar)
