The position is based at our head office located in Naval Base 6165.
About the Role:
As a Mobilisation Coordinator, you will play a pivotal role in ensuring the smooth and efficient operation of site mobilisation and administrative processes.
Your key responsibilities will include:
- Coordinating the onboarding and mobilisation of site teams to various worksites, adhering to strict timelines and ensuring efficiency.
- Gaining a comprehensive understanding of the specific operational requirements of each worksite.
- Facilitating seamless communication between work sites and our staff through phone, text messages, and email correspondence.
- Preparing, managing, and maintaining all necessary documentation to facilitate seamless site entry for teams.
- Organising flights, travel, and accommodation to ensure personnel are mobilised according to the roster.
- Managing leave requests and maintaining accurate and up-to-date rosters and schedules.
- Ensuring all personnel meet site-specific requirements, including qualifications, medical clearances, and inductions.
- Submitting site entry documentation to clients in compliance with their procedures and systems.
- In conjunction with HR, onboard and appropriately mobilise qualified employees for allocated projects ensuring they meet project-specific requirements.
- Lead the seamless mobilisation of personnel to allocated sites, ensuring alignment with project timelines and operational needs.
- Utilise training, checklist, mobilisation, and planning software such as ERMS, SuccessFactors, My Pass, and INX to streamline processes, manage personnel data, and track qualifications (as required).
- Establish and maintain clear lines of communication with site supervisors, employees, and other stakeholders. Regularly update them on project requirements, schedule changes, and any relevant information.
- Develop and maintain a robust organisational system to efficiently manage mobilisation requirements. This includes tracking employee qualifications, coordinating travel arrangements, managing timesheets, site access requirements and tracking and checking purchase orders and invoices.
- Provide reporting (weekly, monthly, or as requested) to management.
Required Skills and Qualifications:
To be successful in this role, you should possess:
- A minimum of 3 years' experience in a similar mobilisation or administration role.
- Proficiency in using ERMS and INX systems (highly advantageous).
- Excellent written and verbal communication skills.
- A strong understanding of customer service principles, ensuring satisfaction for clients and team members alike.
- Advanced skills in Microsoft Office, particularly Excel and Outlook.
- Exceptional organisational abilities and attention to detail.
- A proactive personality and the ability effectively manage multiple projects
- Excellent people management skills are a must.
