The Role
The Client Support Officer plays a vital role in delivering compassionate, responsive support to individuals accessing our mediation services. Working across the Family Dispute Resolution and Family Relationship Centre programs, you'll manage client enquiries, initiate contact, and assist practitioners in providing timely service updates. This dynamic role also includes coordinating group programs and contributing to a seamless client experience that positions Better Place Australia as the mediation provider of choice.
What You Can Expect To Do In This Role
- Contact clients on the waitlist to provide updates on service timelines and interim support options.
- Respond to phone and email enquiries with tailored, service-specific information.
- Maintain regular client communication by reviewing service records and initiating follow-ups.
- Notify clients of any changes due to staff leave or availability.
- Liaise with internal teams and external stakeholders to support non-clinical client matters.
- Assist in scheduling group sessions and client appointments and issuing relevant correspondence.
- Manage staff calendars, document meetings, and ensure accurate client record-keeping.
- Use databases to collect, analyse, and report service-related data.
- Actively contribute to team culture, participate in meetings, and engage in professional development.
- Support quality assurance, compliance, and health and safety practices across all service activities.
What You Will Require
- Proven commitment to Child Safety Principles with active participation in child wellbeing initiatives.
- Experience in customer contact and strong client-focused service skills.
- Interest and basic knowledge of Family Law and Family & Children's Services, including the Family Law Act 1975.
- Ability to communicate clearly, presenting information logically and coherently.
- Respect and understanding of cultural diversity within the community.
- Strong interpersonal skills with the ability to build rapport, especially with people in crisis.
- Excellent organisational, time management, and self-directed work capabilities.
- High computer literacy, including proficiency with Outlook, Word, Excel, and data entry.
- Proven experience in administration and scheduling.
- Strong stakeholder engagement and client liaison skills.
- Demonstrated commitment to safety and wellbeing, including child safety.
- Excellent communication and interpersonal skills.
- Strong time management and organisational abilities.
- Ability to work effectively within a team environment.

We have two part-time (0.6 FTE) positions currently available that can be based at any of these BPA sites: Oakleigh, Cheltenham, Narre Warren or Traralgon with occasional travel to other locations as required.
