About the position

The Portfolio Coordinator at La Trobe University is a key role within Information Services. This position supports the effective coordination and management of the university's project portfolio. The Portfolio Coordinator is responsible for assisting in the planning, execution, and monitoring of projects to ensure they align with the university's strategic objectives and are delivered on time, within scope, and budget.

Duties at this level will include:

Project Coordination and Support

  • Assist in the development and maintenance of project plans, schedules, and budgets (including processing of journal transfers invoices).
  • Coordinate project activities, resources, equipment, and information to ensure projects are delivered effectively.
  • Support project teams in tracking progress and performance, ensuring adherence to project plans and timelines.

Reporting and Documentation

  • Prepare and maintain project documentation, including project charters, status reports, and meeting minutes.
  • Develop and update project dashboards and performance metrics for regular reporting to stakeholders.
  • Ensure documentation is accurate, up-to-date, and accessible to project teams and stakeholders.

Stakeholder Engagement

  • Liaise with project stakeholders to gather requirements, provide updates, and address any concerns.
  • Facilitate communication and collaboration among project teams, ensuring clear understanding and alignment of project objectives.
  • Assist in organising and conducting project meetings, workshops, and reviews.

Risk Management and Quality Assurance

  • Identify potential project risks and issues and assist in developing mitigation strategies.
  • Monitor project compliance with university policies, standards, and best practices.
  • Conduct quality assurance checks to ensure project deliverables meet the required standards.

Continuous Improvement

  • Contribute to the development and improvement of project management processes, tools, and templates.
  • Provide feedback and recommendations to enhance project efficiency and effectiveness.
  • Participate in post-project reviews to identify lessons learned and best practices for future projects.

Skills and Experience

To be considered for this position, you will have:

  • Experience in supporting project management activities within a complex organisational environment.
  • Knowledge of project management methodologies, tools, and best practices.
  • Proficiency in using project management software and tools (e.g., Microsoft Project, ServiceNow PPM).
  • Strong organisational and time management skills, with the ability to handle multiple tasks and priorities.
  • Excellent written and verbal communication skills for preparing reports, documentation, and stakeholder engagement.
  • Ability to work collaboratively with diverse teams and build positive relationships with stakeholders.
  • An undergraduate degree in any area relevant to the position with at least 4 years subsequent experience; or extensive experience and management expertise; or an equivalent alternate combination of relevant knowledge, training and/or experience.
