The Opportunity

We are now looking for a Document Control Officer to join our Emerald Depot on a six-month fix term contract to review all documents within our organisation, ensuring they are created, reviewed, stored, accessed, changed, and archived in an organised, secure, and compliant manner.

About the role

This fix term position is suited to a highly skilled, self-motivated and energetic person with the ability to work autonomously within a small team. Your primary base will be at the Emerald depot. As the Document Control Officer, you will be highly organised with acute attention to detail. The duties of this role are to:

  • Amend, update, and maintain company documents in line with Emerald Coaches' approved formats.
  • Create new documents as required, ensuring consistency with company standards.
  • Ensure all documents remain accurate, accessible, and compliant with internal procedures and external requirements.
  • Support the maintenance of version control, templates, and filing structures.
  • Ensure document revisions are communicated to relevant staff and old versions are archived in accordance with Emerald Coaches' approved archiving procedures.
  • Audit and verify documents for accuracy, formatting, and compliance.
  • Provide assistance during internal or external audits.
  • Maintain confidentiality and security of all documents
  • Other duties as required.

About you

You will have

  • Knowledge of quality management systems (ISO 9001:2015) is essential.
  • High attention of detail in written and oral communication skills.
  • Advanced experience in Microsoft Office Suite (Office 365, Word, Excel, Outlook, One Drive and Sharepoint).
  • Strong attention to detail in organisational and time management skills with the ability to meet deadlines.
  • At least 2 years' experience in document or records management including version control and audits.
  • Previous experience in a compliance or regulated environment will be desirable.
