Pennant Hills Golf Club (PHGC) is seeking a professional, service‑oriented Administration & Membership Assistant to support our members and office operations.

About Pennant Hills Golf Club

PHGC is a private, 18-hole, par 71 club, rich in tradition, yet modern in its approach and facilities. Located in Beecroft Sydney, with over 1,400 members, we pride ourselves on a member-first mindset, strong sense of community, and a team committed to exceptional service and continuous improvement.

The Role

As our first point of contact at Reception, you will provide a friendly and professional service to members and visitors, manage accurate membership records, and play a key part in the Club's daily administration including supporting the General Manager.

This role suits a proactive, discreet, and organised administrator who enjoys variety and takes pride in getting details right.

What you'll do

  • Welcome members and visitors, answer calls, and manage front-desk enquiries professionally
  • Provide prompt and accurate information on club amenities and member services
  • Maintain accurate membership records (applications, renewals, new member interviews, resignations, transfers) with care and confidentiality
  • Assist the General Manager with administration, reports, and correspondence
  • Circulate meeting agendas and collate Board papers
  • Arrange trophy engraving and maintain competition registers
  • Manage office mail and stationary supplies
  • Update our website to reflect current activities
  • Facilitate insurance claims for golf ball damage, equipment theft, loss or damage.

What you'll bring

  • Demonstrated experience in reception or office administration, ideally in a member-focused, hospitality, or premium corporate setting
  • A warm, approachable demeanour with strong interpersonal and communication skills
  • Highly organised, able to prioritise and meet deadlines with minimal supervision
  • Discretion and confidentiality in all matters; sound judgement on escalation
  • Advanced Microsoft Office skills (Word, Excel) and confidence with databases/CRMs
  • Website update experience (e.g., WordPress or similar)
  • Experience with club management or membership software (e.g., Northstar)

Hours, location and flexibility

  • 20 hours per week, ideally M-F, 10am to 2pm (some flexibility)
  • On‑site at Pennant Hills Golf Club, Beecroft (Sydney's Hills District)
  • Occasional adjustment in hours to support key club events as needed.
