Administration Assistant / Receptionist – Bankstown

(Support to South Granville Depot)

Hours: 38 hours per week, Monday to Friday, 8:00 AM – 4:00 PM (30 min break)

Location: Onsite – Bankstown Depot

Start: Immediate

About the Role:

We are looking for a motivated and enthusiastic Administration Support person to join our team at Bankstown Depot, with support responsibilities for South Granville. This role is perfect for someone who thrives in a fast-paced, constantly changing environment, enjoys working with people, and wants to go above and beyond for our bus drivers and operations teams.

You'll be a hands-on team player who is initiative-driven, solution-focused, and able to adapt quickly to change. You'll need to learn systems and processes fast, provide excellent customer service, and handle multiple administrative tasks with professionalism and a positive attitude.

Additionally, you'll help create a supportive and engaging work environment by driving team initiatives and activities.

What You'll Be Doing:

  • Depot support: Keep kitchens stocked with tea, coffee, sugar, and milk for drivers, mechanics, and office staff
  • Uniforms management
  • Inputting Mystery Shopping data
  • Assist Recruitment – support with open days and ad hoc tasks
  • Handling Pre-Departure Slips & Receipts – bundle, archive, and maintain daily records
  • Managing Lost Property – record, tag, process items, coordinate with NSW portal, organise donations/disposals, respond to inquiries
  • Reception duties – answer phones, greet visitors, manage emails, provide a friendly first point of contact for depot staff and guests
  • TIMS / Operational Support – update driver and vehicle records, upload training documents, track training completions, maintain accurate driver logs, and ensure all compliance data is current.
  • Assist drivers and operations staff with forms, documentation, and internal reporting requirements
  • Support daily depot operations, including scheduling, vehicle maintenance documentation, and monitoring operational compliance
  • Prepare and file HR and safety documentation, including pre-employment medical forms, licenses, and competency records
  • Assist with fleet and equipment tracking, including vehicle inspections, asset registers, and replacement part documentation
  • Coordinate internal communications and notices for depot staff to ensure smooth operational flow
  • Support ad hoc projects and administrative tasks as needed for the People & Culture and Operations teams
  • Create a supportive work environment – come up with ideas for morning teas, staff events, and celebrations
  • Drive Christmas parties and other team initiatives to engage and motivate depot staff

  • Able to plan and implement initiatives that create a positive, engaging, and supportive workplace culture.
  • Excellent with Microsoft Suite and other business software
