PTM Pilbara Traffic Management have been the leading force in Traffic Management & Rail Safeworking services in the Pilbara Region of Western Australia for the past decade.
PTM cater for a vast range of clients, including civil, construction and mining.
About the Role:
We have a rare opportunity for a Scheduler to join our high performing team based in our offices in Karratha.
This role will see you contribute to scheduling processes and support team coordination, helping ensure smooth and efficient operations across the business. Key responsibilities will include, but are not limited to:
- Rostering & Logistics: Manage rosters, flights, accommodation, and travel arrangements for all personnel, ensuring seamless and cost-effective coordination & mobilisation.
- Forecasting & Resource Planning: Develop and maintain accurate forecasts to ensure optimal allocation of resources, anticipating future scheduling demands and adjusting plans accordingly.
- Scheduling Software Management: Utilise scheduling and resource management systems with a high level of competency, ensuring data is accurate, up to date, and effectively supports business operations.
- Client & Stakeholder Communication: Communicate daily with a diverse range of clients via email and phone to understand their needs, provide updates on scheduling, and resolve any issues promptly.
- Job & Project Organisation: Organise jobs and projects to ensure all staff are fully equipped with the necessary information to perform their tasks safely and effectively.
- Daily Scheduling Management: Coordinate and manage daily schedules, including making real-time adjustments to optimise staff utilisation and operational efficiency.
- Data & Reporting: Run and analyse reports, leveraging data insights to improve scheduling accuracy, track performance, and drive continuous improvements.
- Leadership & Team Management: Provide leadership and guidance to the scheduling team, to ensure efficient operations and maintain a positive, high-performing team culture.
- Cross-Team Collaboration:Work closely with other departments, including Accounts, Recruitment, HSE and Fleet, to facilitate clear communication and effective resource planning.
This role is ideal for a highly organised individual who thrives in a fast-paced environment and is passionate about streamlining processes, solving problems, and driving operational excellence.
Skills & Experience required:
As a valued member of our scheduling team, you will play a vital role in supporting the delivery of accurate and efficient schedules. With a background in scheduling within industries such as traffic management, construction, mining, or rail, you'll be comfortable working in a fast-paced, dynamic environment. You are proactive, detail-oriented, and capable of managing competing priorities with a solutions-focused mindset.
You should be highly organised, efficient, and collaborative, with the ability to work closely with others to meet operational needs. Experience with scheduling or resource management systems is essential, along with a good understanding of forecasting and identifying potential scheduling conflicts.

The Ideal Candidate Will Have:
- Proven experience in process improvement and change management to enhance scheduling systems.
- Experience supporting a business in a fast-paced environment.
- Up-to-date knowledge and practical experience with the Microsoft Office Suite.
- Strong organisational and time management skills, with the ability to meet deadlines.
- Initiative to identify and resolve issues proactively and follow through to resolution.
- Well-developed interpersonal and communication skills, both written and verbal.
- A willingness to learn and adapt to new skills, technologies, and processes.
- The ability to work effectively as part of a collaborative team.
- Exceptional attention to detail and a high level of accuracy.
- A strong ability to multitask and prioritise tasks effectively, even under pressure.
- An understanding of national units of competency and qualifications.
- Knowledge of the Mining, Construction, and Rail industries (advantageous but not essential).
