Purpose of this position

The key purpose of the Scheduler position is to conduct the rostering function of the individual support

services. This includes allocating suitable staff to client support shifts, liaising with internal and external

stakeholders, applying problem solving skills to work through rostering challenges, providing support and

advice to Support Workers regarding service provision queries, and processing administrative tasks as

required.

The aim of successful rostering is to ensure that the needs and preferences of the clients are met, that

staff utilisation is maximised and that all relevant communication is provided in a timely manner.

Key Responsibilities and Duties

Responsibilities and duties include but not limited to:

  1. Schedule person-centred supports with support workers matched to individuals

  2. Establish and maintain positive, professional relationships with families, support workers and

    relevant external vendors

  3. Recognise, value and nurture the talents of support workers and the people they support,

    ensuring person-centred relationship- based support

  4. Manage annual leave and personal leave of support workers, ensuring that information is

    accurate and up to date and approve or decline leave requests

  5. Take action and follow correct procedures when feedback and complaints are received

Understanding the people we support:

1. Appreciate and understand the issues experienced by people with disability and their families

  1. Minimise the impact of scheduling and support worker changes

Service Delivery:

1. Ensure timely response to scheduling support workers for new and existing people that we

support

  1. Ensure that appropriate breaks and travel time are accurately incorporated into rosters

  2. Ensure that the provision of supports is consistent with the policies and procedures of Directions

    and its funding body

  3. Ensure efficient rostering and coordination of support workers to maximise their availability to

    individuals and families

  1. Participate in the on-call roster

  2. Schedule staff inductions and training

  3. Use and populate CRM database in accordance with the requirements of Directions and funding

    bodies

  4. Provide cover for support worker shifts as required if unable to fit suitable cover

  5. Complete and process daily approvals

Relationships and communications:

1. Create, negotiate and build effective relationships and rapport with individuals, families and

support workers

  1. Develop and maintain professional and functional relationships with peers and colleagues within

    Directions

  1. Any procurement of goods and services include consideration of the environmental footprint

  2. Minimise wastage of office materials through reduction, reuse or recycle principles

  3. Participate in environmental awareness activities

  4. Report environmental issues to appropriate people

Continuous Improvement

1. Contribute to continuous quality improvement by constantly seeking out opportunities to improve

work practices and procedures

  1. Assist the quality evaluation process by identifying, incorporating best practice and providing

    regular reports on quality activities undertaken

  2. Maintain high standards of performance and adopt a proactive approach to occupational health

  4. Report all observed safety incidents and hazards and recommend improvements

  5. Comply with all state and federal anti-discrimination, bullying and sexual harassment legislation

  6. Have an awareness of the SHCADS award and how this is applied to rostering

1. Ensure the confidentiality of any and all information obtained in relation to the position

  1. Comply with Directions' internal quality systems, policies, procedures and protocols

  2. Represent Directions in a professional and credible manner in all interactions with the community

    and other external stakeholders

  3. During normal working hours focus attention on the activities of Directions

Selection Criteria

Academic Qualifications and other Credentialing Requirements

1. Certificate III in Disability (Desirable)

Work Experience, Skills & Competencies

Demonstrated relevant experience in the following areas:

  1. Previous experience in a scheduling role, demonstrating highly effective people skills and

    delivery of outcomes for people with disability and their families, or within aged care

  2. Excellent communication and interpersonal skills with demonstrated ability to engage people from

    all backgrounds

  3. Good problem-solving skills with the ability to find solutions autonomously

  4. Possess a diligent, 'can-do' attitude and thrive in a fast paced, dynamic environment

  5. Demonstrated ability to take responsibility, with the capability to work on your own initiative and

    within a team

  6. Proven skills to work well under pressure and at a fast pace

  7. Willingness to work flexibly as required and manage competing priorities

  8. High level of competency with Word and Excel, knowledge of SMS and/or Visicase would be an

    advantage
