The company: We have partnered with a global wholesale and distribution company, based in western Sydney, with an impressive year on year growth history. They have recently acquired a competitor and are currently amalgamating Due to increase in headcount a newly created HR Senior Admin Coordinator position is now available.
The role
The HR team are responsible with tasks that issue letters of offer to inline with internal approvals, and the administration of the Connx (HR system) and processes to support the business.
Key tasks of this role:
Management of Letters of Offer (LOO), including:
- Approval LOO requests in ConnX, ensuring compliance with approved personnel requisitions or liaising with appropriate management for exceptions
- Management of the standard LOO Templates, including updating the templates for approved changes by Payroll Manager and Manager of Industrial Relations
- Ensure appropriate approved LOO templates only are used for offers, and approving change requests if applicable
Reporting Requirements:
- Generate the weekly ConnX Hires, Changes & Terminations report for Internal Audit (Monday)
- Preparation and distribution of the weekly Onboarding Report
- Preparation and distribution of Termination Reports to WHS
- Preparation and distribution of WGEA reporting ensuring reporting compliance with legislative requirements, including the management of the HR tracker
Maintenance of ConnX, including:
- Updating ConnX configuration to ensure correct workflow, including updates to Org Structures and departments
- Bulk changes for employment contracts where required
- Liaising with ConnX Support to ensure Onboarding licenses are available
- Liaising with ConnX regarding system issues and management of the internal ConnX issue Tracker
Other admin:
- Ensure HR folder structures are maintained correctly
- Oversee award interpretation and updates
- Ensure HR processes are documented, approved by Payroll Manager and loaded in the SharePoint
- Preparation and distribution of Monthly Mental Health Training Notifications during the first week of each month
Team administration:
- Coordinate onboarding elements like FOB and IT access for the payroll team
- Organise and facilitate HR and team meetings
- Management of 3x HR Analysts, ensuring workload is distributed evenly and ensuring adherence to deadlines and Service Level Agreements
