This is an exciting opportunity for a highly organised, professional, and proactive Executive Assistant to be the backbone of our office operations while providing high-level executive support.


Key Responsibilities

Executive Support

  • Provide comprehensive executive assistance to the Chief Financial Officer, including calendar management, travel coordination, and confidential correspondence.
  • Prepare documents, presentations, and reports for board and client meetings.
  • Liaise with clients, stakeholders, and international counterparts with professionalism and discretion.

Office Management

  • Manage daily office operations, ensuring smooth running of the Double Bay office.
  • Oversee suppliers, facilities, and office budgets.
  • Manage event coordination, client hospitality, and VIP visits.

Administration & Communication

  • Draft and edit correspondence and executive communications.
  • Maintain and improve filing, CRM, and document management systems.

Skills & Experience

  • Previous experience as an, Executive Assistant, or in a senior administrative role (experience in racing, bloodstock, highly regarded but not essential).
  • Strong organisational skills with the ability to prioritise and manage multiple tasks.
  • Exceptional written and verbal communication skills. Experience with contracts highly valued
  • High level of discretion, integrity, and ability to handle confidential information.
  • Tech-savvy: confident in Microsoft Office Suite, Adobe, CRMs, and virtual collaboration tools.
  • Interest in thoroughbred racing, equine is a plus but not essential.
