A Painting and Decoration services in NSW is looking for a
detail-oriented and efficient Virtual Assistant
to support their growing painting business. The business owner wants to keep the projects running smoothly and free him up to focus on-site.
Key Responsibilities
Email Management & Organisation -
Sort, record, and manage emails, filter out unnecessary subscriptions, and keep communication clear and structured.
Quoting & Estimating
- Prepare and manage quotes, assist with take-offs for jobs and plans, support estimating processes in Ground Plan, and enter/review details in Simpro.
Job Planning & Scheduling
- Manage scheduling and allocate time and purchase orders in Simpro; reconcile purchase orders as needed.
Bookkeeping & Payroll
- Assist with bookkeeping, payroll, wages, and profit-and-loss reporting in Xero.
General Administration
- Organise documents and files, and support the creation of SOPs for smoother workflows.
Communication & Reporting
- Maintain a company email address, respond to selected client emails as directed, and ensure smooth coordination with the business owner and the team.
Future Responsibilities
- May include managing social media content

- Experience with Simpro, Xero, GroundPlan, or similar tools a plus
- Proactive mindset able to create systems that save time and increase profitability
