Virtual Assistant HVAC Asset & Compliance Support
Remote | To start as Part-Time
Were looking for a
highly organized and detail-oriented Virtual Assistant
to help manage HVAC asset data, compliance documentation, and reporting. If youre experienced with
SimPro
and
Rapid Global
, have strong admin skills, and can work independently, this role is for you.

Key Responsibilities:

  • Asset Data Management: Log and maintain all HVAC asset information in Simpro. The initial goal is to complete logging of the remaining 80% of assets and ensure all future entries are consistent, accurate, and fully updated as technicians work on them.
  • Monthly Asset Reporting: Review updated asset data monthly, and generate and submit maintenance reports for internal use and client distribution, ensuring timely and insightful reporting.
  • Quote Preparation in SimPro: For any maintenance or repair needs identified during reviews, generate draft quotes in SimPro. These will be reviewed and finalized by the business owner.
  • Permit and Compliance Document Handling: Prepare and manage work permits (OHNs and SWMS) through Rapid Global, ensuring all compliance documents are submitted accurately and on time in accordance with regulatory and client requirements.
  • Support for New Projects: Assist with asset logging, documentation, and reporting for a new childcare industry client currently operating across 4 locations, expanding to 60applying the same standards and processes used in current operations.
  • General Administrative Support: Provide ongoing assistance with maintenance scheduling, document management, compliance follow-ups, and reporting tasks as needed.
  • Daily Communications: Submit Start-of-Day (SOD) and End-of-Day (EOD) reports via email to keep the team informed on progress, pending tasks, and any concerns.

What Youll Need:

  • Experience with SimPro and Rapid Global (or similar platforms)
  • Background in HVAC, construction, or facilities admin preferred
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to work independently and meet deadlines
