Executive Assistant to the Managing Partner

Full-time | Professional Services for Not-for-Profits

Giuntabell Pty Ltd is looking for a highly skilled and proactive Executive Assistant to support our Managing Partner. This role is perfect for someone who excels in a fast-paced environment, enjoys navigating complexity, and values working in a purpose-driven organisation. You will play a vital role in ensuring the Managing Partner stays focused on high-impact work by coordinating communications, schedules, strategic priorities, and special projects.

Duties & responsibilities:

  • Take ownership of inbox and calendar management, ensuring communication and meetings are aligned with key priorities
  • Coordinate internal and external meetings, prepare agendas, take minutes, and follow up on action items
  • Support strategic projects, tenders, proposals, and client documentation
  • Prepare reports, presentations, and correspondence to a professional standard
  • Coordinate staff recruitment activities and onboarding logistics
  • Assist with secretarial responsibilities related to the Managing Partner's role as Company Secretary for client organisations
  • Organise domestic and international travel arrangements
  • Provide occasional personal assistance, such as booking appointments and planning holidays or events
  • Use Asana (or similar) to track tasks and manage workflow across priorities

Experience & qualifications:

  • Minimum of 3–5 years of experience in a senior Executive Assistant or similar high-trust support role
  • Demonstrated ability to manage time, priorities, and communication for senior leadership
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and emotional intelligence
  • Confident using Office 365, Asana (or similar), cloud-based systems, and AI tools
  • Exceptional attention to detail and a proactive, problem-solving mindset
  • Experience in professional services sectors (desirable)
