About Us

Harvest Land Group is a local property developer and builder with residential and commercial projects across Sydney region. The organisation is currently having several active projects and is looking for a full time Contract Administrator to support the company.

Role Responsibility:

  • Documentation and Record Keeping:

  • Assist in maintaining accurate and up-to-date project documentation, including site inductions, daily site diary, daily site photos, WHS documentations, progress reports, and any change orders.

  • Organize and file project-related documents for easy retrieval.
  • Ensure all designs and plans on site are up to date.
  • Ensure that all necessary permits and approvals are obtained and maintained throughout the project.
  • Assist in preparing tender documents
  • Manage trade contracts and supply agreements.
  • Keep records of ordering materials, equipment and plant maintenance

  • Communication:

  • Act as a point of contact for communication between the construction site and project manager.

  • Assist in distributing information and updates to team members, subcontractors, and other relevant parties.

  • Scheduling and Coordination:

  • Assist in scheduling and coordinating work activities, deliveries, and subcontractor activities.

  • Help ensure that work progresses according to the project timeline.
  • Cost analysis, reporting and forecasting.
  • Budgets, Bill of Quantity, letting of packages, creating scope of works, help with estimating variations and negotiating with sub-contractors

  • Resource Management:

  • Support the Site Manager in coordinating the allocation of resources, including labour, equipment, and materials.

  • Monitor and track the inventory of materials and equipment on-site.
  • Manager all materials order and equipment hire.

  • Safety Compliance:

  • Assist in promoting and enforcing safety protocols on the construction site.

  • Participate in regular safety meetings and help ensure that all workers adhere to safety regulations.

  • Quality Control:

  • Assist in quality control measures by participating in inspections and reporting any issues or concerns.

  • Work with the Site Manager to address and resolve quality-related issues.
  • Record all defects on site and assign to all relevant subcontractors.

  • Assistance with Meetings:

  • Support the organization and coordination of on-site meetings with project stakeholders.

  • Take meeting minutes and distribute them to relevant parties.

  • Problem Solving:

  • Assist in identifying and addressing challenges or obstacles that may arise during construction.

  • Work collaboratively with the Site Manager to find solutions to issues as they arise.

  • Adherence to Regulations:

  • Assist in ensuring that the construction site complies with local building codes, safety regulations, and other relevant construction standards.

  • Support the process of obtaining necessary permits and approvals.
Core Industry Experience

Minimum:

  • 2–5 years' experience in contract administration or project coordination roles within the construction industry.
  • Ideally with experience on multi-residential (Class 2) or mixed-use projects.

Preferred:

  • Prior experience on mid/high-rise apartment buildings ($10M–$100M+ value).
  • Exposure to both design and construct (D&C) and lump sum contract types.

Experience with:

  • Procore, Jobpac and Bluebeam (common in Class 2 projects).
  • MS Project (for linking progress with claims and variations).
  • Excel (cost tracking, reconciliation) and general MS Office suite.
Education & Qualifications
  • Bachelor's degree in Construction Management, Quantity Surveying, Building, or related discipline (preferred).

  • Demonstrated experience in a similar role within the building construction industry.

  • Ability to communicate, influence, and build effective relationships at all levels of the business, working effectively as part of a team.
  • Demonstrated ability to operate autonomously using initiative, sound reasoning, listening, and decision-making skills.
  • Demonstrated ability to cope with shifting work priorities to deliver results.
  • Optional but valuable:

  • White Card (mandatory).

  • First Aid / Safety Induction (advantageous).
