Office Administration

  • Manage general office operations, including supplies, mail, filing systems, and coordination with service providers.
  • Maintain company records, templates, and document management systems.
  • Coordinate meeting rooms, calendars, and travel arrangements.
  • Assist with onboarding new staff and maintaining HR records.
  • Liaise with IT support and manage office technology and subscriptions.

Finance & Reporting Support

  • Assist with accounts payable/receivable, invoicing, and expense reconciliation.
  • Support preparation of monthly reports, budgets, and project cost tracking.

Personal Assistant Support

  • Provide executive support to Directors, including diary management, email correspondence, and meeting preparation.
  • Draft and format correspondence, presentations, and project documentation.
  • Coordinate and track key project milestones, deadlines, and deliverables.
  • Maintain confidentiality and professionalism in all matters.

Team & Project Support

  • Assist project teams with document collation, submission formatting, and tender/proposal preparation.
  • Support communication between internal teams, clients, and external stakeholders.
  • Help organise internal meetings, team events, and professional development activities.

Marketing & Communications Support (desirable but not essential)

· Upload and manage basic website or social media updates

· Assist with project sales and launch materials where required


About You

  • Previous experience in a similar administration or office coordinator role (property or professional services desirable)
  • Minimum 2-3 years of administration or office coordinator experience required
  • Skilled in Microsoft Office Suite and comfortable learning new systems (experience with Xero highly regarded)
  • Excellent organisational skills and a strong attention to detail
  • Ability to multitask and prioritise in a dynamic environment
  • Confident communicator who thrives in a collaborative setting
  • Positive, solutions-focused, and eager to roll up your sleeves
  • Must have Australian work rights
