Mindkit Psychology is a neurodivergent-led clinic offering therapy and comprehensive assessments, including ADHD, Autism, learning disorders, acquired brain injuries, neurological, and psychiatric conditions. We blend clinical expertise with lived experience to provide care that is both effective and deeply human. Our therapy combines coaching and psychotherapy, offering practical strategies for everyday challenges alongside deeper emotional support. We tailor every service to the individual using a neuroaffirming, person-centered approach, with sensory and cognitive accommodations available. Services are offered in-person and via Telehealth to ensure accessibility and flexibility.

We pride ourselves on operational excellence, team cohesion, and delivering exceptional value to our clients.We are seeking a highly organized and experienced Practice Manager to oversee the daily operations, strategic planning, and administrative functions of our team. This role is critical in ensuring smooth workflows, managing budgets, optimizing internal processes. The ideal candidate is a proactive problem-solver with strong leadership skills and a proven track record in practice or office management. This role requires a commitment of 10-20 hours per week.

Key Responsibilities

  • Operational Management: Develop, implement, and maintain efficient internal policies, procedures, and tools (e.g., CRM, project management).
  • Financial Oversight: Manage the practice budget, monitor expenses, process payroll liaison, and oversee basic invoicing/billing procedures.
  • Team Mentorship & HR: Mentor the administrative team (including the Admin Assistant), handle initial HR-related inquiries, and manage the full hiring and interviewing process for new medical staff (e.g., Psychologists, GPs).
  • Client Relations: Act as a key point of contact for client concerns.
  • IT & Infrastructure: Overseeall Halaxy software updates and integrations.

Qualifications & Skills

  • Bachelor's degree in Business Administration, Management, or a related field (or equivalent professional experience). A Master's degree is desirable.
  • Minimum 3 years of experience in practice management, office management, or a senior administrative/operations role.
  • Demonstrated ability to manage budgets, financial processes, and operational compliance.
  • Exceptional leadership, communication, and interpersonal skills.
  • Proficiency with cloud-based productivity software (e.g., Microsoft Office 365) and project management tools (e.g., Asana).
  • Prior experience working with the Halaxy practice management software is highly preferred.

Australian Priority:While these are fully remote positions, preference will be given to candidates who are currently based in Australia due to time zone alignment with our core operations and regulatory compliance considerations.

Job Type: Part-time

Pay: $38.00 per hour
