The Role;

This is a hands-on, detail-oriented position that blends bookkeeping, vendor coordination and administrative management.   This is a friendly, small cohesive team of 3 where it's quite ok to have a laugh and a chat. as you work away.

If you enjoy variety and thrive in a hands on, fast-paced environment, this could be your perfect role.  In this role you'll support both the financial and operational side of the business, ensuring smooth day-to-day administration and accurate account processing.

A vibrant engineering company established in 2010, expanding its specialist capabilities on various interesting projects with people driving their success across engineering teams that deliver strong results for every customer project.

Key Responsibilities - Accounts and Finance

  • Invoice and Billing: Process invoices, verify billing, and manage accounts payable and receivable. Raise purchase orders and staff reimbursements.
  • Reconciliation: Reconcile accounts, bank & Credit card transactions.
  • Financial Support: Assist the finance team with administrative tasks, data entry, and preparing financial reports.
  • Record Keeping: Maintain accurate financial records, ledgers, and filing systems.
  • Project Management: Accurately enter project expenses into the system

Training Administration (Extend Training)

  • Coordination: Coordinate training schedules, events, and logistics

  • Support: Provide administrative support to trainers.

  • Communication: Communicate with external training providers and participants. Answer phone call enquiries.
  • Documentation: Organize and maintain training materials and records.

Software Administration (Ex-Online)

  • Managing client software subscriptions, including raising invoices, and maintenance of online subscription portal
  • Directing support calls and sales enquiries

Office Functions

  • General Administration: Answer phone calls, manage emails, and handle correspondence.
  • Supplies: Monitor and order office supplies. Maintain kitchen and meeting rooms, this is a muck in environment.
  • Support: Provide general administrative support to management and other teams and assist with social functions.

Ideally you will have:

  • 2- 3 + years experience in administration, bookkeeping, or finance support and good longevity in previous roles
  • Proficiency with Xero and the Microsoft / Google Workspace
  • Strong attention to detail and excellent organisational skills
  • Clear and professional written and oral communication skills along with customer service skills
  • The ability to work independently and as part of a team
  • Experience working in a professional services company with exposure to project-based billing or timesheet systems
  • Comfortable working in a fast-paced, growing business environment, seeking a long term career opportunity and eager to learn and grow the business
