Position Overview
The Office Coordinator plays a vital role in supporting the daily operations of a property sales and
marketing business. This role ensures smooth coordination across sales, marketing, administration, and
client service functions. The Office Coordinator will act as the first point of contact for clients, referral partners, and internal staff while maintaining efficient office systems and processes.
About the Role
We're seeking an energetic and highly organised
Office Coordinator
to join our dynamic property sales and marketing team. In this pivotal role, you'll support the smooth day-to-day operations of the business—ensuring seamless coordination across our sales, marketing, administration, and client service functions.
As the first point of contact for clients, partners, and internal staff, you'll help maintain efficient office systems, support marketing and sales activities, and contribute to the overall success of our projects.
Key Responsibilities
Administration & Coordination
- Oversee daily office operations, including reception duties, filing systems al client Follow through.
- Support sales and marketing teams with documentation, contracts, and compliance requirements.
- Maintain client databases, sales reports, and Property Supplies
- Coordinate calendars, meetings, property inspections, and project launches.
Sales & Marketing Support
- Assist in preparing property listings, brochures, email campaigns, and social media updates.
- Liaise with agents, developers, builders, and referral partners to ensure smooth communication.
- Prepare and distribute sales kits, proposals, and marketing materials.
- Track campaign performance and prepare marketing reports.
Client & Partner Support
- Serve as the first point of contact for client enquiries.
- Provide professional assistance to referral agents, channel partners, and consultants.
- Help coordinate events, education seminars and shopping centre pop up displays.
Financial & Compliance Support
- Maintain compliance documentation for sales contracts, and company policies.
- Plan and Support Sales team to present investment strategies
- Support internal stock lists and reporting processes.
Skills & Attributes
- Excellent organisational and multitasking abilities.
- Strong written and verbal communication skills.
- Strong attention to detail especially when handling contracts and financial documents.
- Proficient in Microsoft Office Suite, CRM systems, Canva, Adobe and marketing tools.
- Knowledge of property sales (particularly off-the-plan and new developments) is desirable.
Qualifications & Experience
- Previous experience in office administration, coordination, or property support.
- Background in real estate or property preferred but not essential.
- Certificate in Real Estate, Business Administration, or related field is advantageous.
