Job Type: Full-time (Minimum 38 hours per week)
Salary range - $77,000-$85,000

About the Role:
As a Contract Administrator, you will be responsible for managing and overseeing contracts, ensuring compliance, and maintaining effective communication between all stakeholders. You will play a vital role in contract negotiation, document preparation, and project coordination, contributing to the overall efficiency and success of our business operations.
Tasks Include:
- Draft, review, and manage contracts and agreements.
- Assessment & approval of work requests
- Investigation &/or escalation of requests as required.
- Manage queries/concerns from facilities.
- Liaise with contractors/suppliers.
- Filing of service reports
- Creation & and maintenance of new facilities, contractors, staff details, etc
- Creation & and maintenance of planned jobs (scheduled maintenance)
- Monitor contract timelines, deliverables, and obligations.
- Identify and mitigate contract risks.
- Appropriate management and distribution of work orders given the level of urgency/priority.
- Work in cooperation with facility staff and external providers
- Provide a weekly/monthly report of work order tracking as required.
- Administration of scheduled maintenance timing and processes
- record and file in a timely manner in line with company's procedures
- Capital Portal accurately maintained and reliable for request referencing.
- Standard requests processed within the approved timeframe.
- Requests distributed to the appropriate approval authority.
- Asset register maintained and reliable for sourcing documentation by the team.
- Service requests are easily accessible by the team when upcoming audits are approaching.
- Maintenance of the Essential Services defect rectification process
- Accurate reporting
- Provide a weekly/monthly report as required.
- Maintenance coordination of internal and external buildings, services, and outside grounds
Skills and Qualifications expected from the Contract Administrator:
- Associate degree/ advanced diploma or diploma either in business or management
- Recent minimum of one year of relevant full-time experience
- Ability to work independently and without supervision.
- Ability to work effectively as part of a team and provide leadership to a small team.
- Demonstrate problem-solving skills and experience with diagnostics.
- Good oral communication skills.
- To maintain the confidentiality of information
- Demonstrated ability to plan and complete tasks.
- Maintain confidentiality, when required, with all relevant parties.
- Customer satisfaction
- Use Knowledge and/or experience in coordinating an internal and contractor maintenance program.
- General maintenance skills knowledge
