Port Melbourne Secondary College is an exciting new school, located in the growing Fishermans Bend Precinct in Melbourne. Our state-of-the-art facilities complement our unique focus on design thinking for innovation, and building future learners, leaders, and entrepreneurs. Role & responsibilities:
Daily organisation
- Maintain and update the daily organisation schedule on Xuno; ensure accurate record-keeping of staff attendance, absences and leave
- Coordinate staff absences, ensuring appropriate classroom coverage and supervision
- Communicate daily changes and duties to staff
- Manage daily relief teacher bookings and allocation of replacement staff as required
- Assist with onboarding and induction of casual relief teachers
- Liaise with teaching staff to resolve urgent coverage and supervision
- Work in collaboration with the executive team to identify and manage staffing shortfalls or clashes
- Provide administrative support to the executive team, including meeting coordination
- Maintain confidentiality and handle sensitive staffing information professionally
- Work in collaboration with the assistant principal (school operations & innovations) on timetabling duties, room and class allocations
General administration
- Oversee the smooth day-to-day operation of the school's front office and administrative functions
- Serve as the first point of contact for students, parents, staff and community members
- Manage incoming called, emails and inquiries with professionalism and efficiency
- Maintain databases and filing systems, both electronic and physical, ensuring accuracy and confidentiality
- Provide first aid health support to students if required
- Provide general support to the executive team as required
- Contribute to a positive, efficient and supportive school office environment
Role and responsibilities included are typical of the work required but this list is not exhaustive; other duties will be at the direction of the executive team and business manager
Experience in daily organisation is desirable but is not a prerequisite. We are dedicated to offering training and support to equip candidates with the skills and knowledge to excel in this role.
