At Avira Dental, we are looking for a patient-centric and caring Front Office Receptionist to deliver exceptional patient experience aligned with our motto "More than just Dentistry, Rediscover confidence"

You'll be the first smile greeting our patients as they walk into our clinic, and the lasting impressions as they walk out with their new smiles. You will play a pivotal role in delivering an exceptional patient experience, helping coordinate appointments, handling billing & insurance, managing patient communications and supporting the clinical team.

Key Responsibilities:
  • Greet patients, visitors, and vendors in a friendly, welcoming and professional manner.
  • Manage incoming phone calls, emails, and online enquiry messages: answer questions, provide information about cosmetic & implant services, direct to appropriate clinical staff.
  • Book, confirm, and modify patient appointments; manage the appointment diary to maximise efficiency and minimise delays.
  • Check in and check out patients: ensure registration forms, medical history and treatment consent forms are completed; verify patient details and update records.
  • Process payments, ensure accurate invoicing, handle billing, insurance claims and verify patient cover where relevant.

  • Coordinate with dentists, dental specialists, surgeons, hygienists and assistants to ensure smooth patient flow and scheduling of surgery/cosmetic work.

  • Maintain the reception and waiting area: ensure cleanliness, comfort, presentation, up‑to‑date brochures / information, maintaining supply stock of forms, office supplies.
  • Perform general administrative tasks as needed: data entry, filing, ordering supplies, handling post, liaising with labs / suppliers for implants / prosthetics.

Essential Skills & Qualifications:
  • Previous experience as a receptionist, ideally in a dental, cosmetic or medical setting.
  • Excellent customer service & interpersonal skills; warm, professional manner.
  • Strong communication skills (verbal and written), with the ability to explain clinic procedures and costs clearly yet compassionately.
  • Good organisational skills and ability to prioritise tasks in a busy environment.
  • High attention to detail; accuracy in scheduling, invoicing, patient records.
  • Familiarity with dental terminology especially relating to implants, cosmetic dentistry, restorative treatments is a plus.
  • Competence with dental practice management software; good computer skills (email, Microsoft Office or similar).
  • Ability to maintain patient confidentiality and privacy (knowledge of privacy / health record regulations).
  • Flexible, team‑player with willingness to assist clinical team.
