The Gympie RSL Veteran Services Centre is seeking a skilled and compassionate Administration Officer with a background in counselling or mental health support to join our close-knit Veteran Services team. This permanent part-time role is ideally suited to someone who combines strong administrative expertise with an understanding of mental health principles and trauma-informed practice, and who is passionate about supporting veterans and their families.

About the Role

This role goes beyond traditional administration. As the Administration Officer, you will provide high-level administrative and operational support while working in a mental health and wellbeing-focused service environment.

You will be the first point of contact for veterans and their families, both in person and via phone and email, and must be comfortable engaging with individuals who may be experiencing complex personal, health, or service-related challenges. Your qualifications and understanding of mental health frameworks will be essential in supporting safe, respectful interactions, maintaining confidentiality, and managing a small, non-clinical, low-risk caseload under supervision.

This position suits an experienced administration all-rounder who brings both professional administrative capability and mental health knowledge, and who values empathy, discretion, and client-centred service delivery.

Key Responsibilities

  • Provide high-quality administrative, communication, and operational support to staff and stakeholders
  • Deliver front desk services, welcoming veterans, families, and visitors to the Centre
  • Respond professionally to phone and email enquiries
  • Maintain accurate client records and support CRM processes
  • Assist with administrative tasks for Compensation and Wellbeing Advocates
  • Support the coordination and management of volunteers
  • Undertake general administrative duties as required
  • Manage a small, non-clinical, low-risk caseload under the supervision of the Senior Case Manager

About You

You are organised, proactive, and people-oriented, with a strong sense of professionalism and discretion. You enjoy working independently while being part of a supportive team and are motivated by work that has real community impact.

Essential Criteria

  • Certificate III, IV or Diploma in a relevant mental health field (e.g. Counselling)
  • Proven experience providing high-quality, confidential administrative support
  • Excellent communication and collaboration skills
  • Strong organisational and time-management abilities, with the capacity to prioritise and multitask
  • Professional presentation and confident client liaison skills
  • Demonstrated problem-solving ability

Additional Requirements

  • Current Working with Children Check (e.g. Blue Card)
  • Current Australian Driver's Licence

Desirable (but not essential)

  • Experience or strong interest in the non-profit or community services sector
  • Understanding of issues impacting current and former defence personnel and their families
  • Lived or professional experience working with veterans, veteran families, or veteran-focused programs
