About the Role

We are seeking a highly organized and proactive Team Coordinator to play a key role in contributing to our team's success. This role requires excellent administrative skills, a collaborative mindset, and strong written communication abilities.

Requirements

What a day in the life looks like?

Core Team Support & Administration

  • Administrative Excellence: Serve as the primary administrative point of contact, managing complex calendars, scheduling internal and external meetings, and preparing necessary materials.
  • Coordination: Proactively manage and coordinate team workflows, ensuring smooth operations by tracking dependencies, following up on outstanding tasks and tracking to key deliverables.
  • Financial Processing: Accurately process and reconcile expense reports, invoices, and other financial documentation.

Presentation & Document Formatting

  • Presentation Formatting: Leverage your skills in Google Slides to update and refine existing templates, focusing on innovative layouts and compelling designs that align with the team's brand identity and create a stronger visual impact.
  • Document Refinement: Assist in formatting and refining reports, proposals, and documents using Google Docs and Sheets to ensure high standards of quality and presentation.

Communication & Content Support

  • Communication Management: Draft and proofread documents ensuring accuracy, professionalism, and adherence to company standards.
  • Information Flow: Manage and maintain shared document repositories (e.g. shared drives, team sites).

About You

Key Skills & Experience

  • Experience: 2+ years of experience in a dedicated administrative, operations, or team support role is essential.
  • Experience using AI to improve efficiencies and effectiveness is desired
  • Administrative Acumen: Exceptional organizational skills, meticulous attention to detail, and a proven ability to manage multiple complex priorities under deadline.
  • Communication: Strong written and verbal communication skills, including excellent proofreading abilities and a professional tone.
  • Technology Proficiency: Strong proficiency in Google Workspace (Docs, Sheets, and Slides). While expertise in Slides is not required, the ability to effectively use templates and format content is necessary.
  • Proactive Attitude: A resourceful, solution-oriented approach to supporting team needs and anticipating challenges.
