Key Responsibilities
Client & Visitor Experience
  • Provide a warm, professional welcome to all clients and visitors
  • Handle all incoming phone calls and emails with exceptional care and professionalism
  • Coordinate client meeting bookings and scheduling
  • Manage secure document and payment collections/deliveries
  • Prepare and dispatch client correspondence and documentation
Office & Facility Management
  • Oversee meeting room bookings, resolve scheduling conflicts, and manage room availability
  • Maintain kitchen facilities and coordinate with external food suppliers
  • Support general facility maintenance and cleanliness standards
  • Manage mail processing, scanning, filing, and banking duties
Essential Requirements
  • Minimum 2+ years administration experience, preferably in professional services
  • Exceptional verbal and written communication skills
  • Strong organisational abilities with keen attention to detail
  • Professional presentation and demeanor
  • Proficiency in Microsoft Office and ability to learn business-specific software
  • Discretion in handling confidential information
  • Australian working rights
Desirable Attributes
  • Experience in legal, accounting, or consulting environments
  • Knowledge of meeting room booking systems
  • Customer service or hospitality background
  • Proactive problem-solving approach
